About the role
The Facility Operations Manager oversees the planning, evaluation, and operational needs of all events and activities, including facility conversions, custodial services, and maintenance. This role requires a flexible schedule and availability outside of normal business hours to respond to HVAC alarms, including evenings, weekends, and holidays, often exceeding 40 hours per week based on event demands.
Responsibilities
- Oversee all operational areas of the facility, including plumbing, electrical, HVAC, snow removal, and other building systems.
- Hire, train, schedule, supervise, and evaluate skilled and semi-skilled workers for event setup, operation, teardown, maintenance, and custodial services.
- Perform daily preventative maintenance and repairs on building systems, including carpentry, minor electrical, plumbing, painting, and refrigeration.
- Maintain a safe, organized, and clean work area.
- Manage inventory of equipment, custodial, and event supplies.
- Develop and follow preventative maintenance plans.
- Conduct daily inspections of the facility’s physical condition and make necessary repairs.
- Maintain strong relationships with vendors and facility users.
- Efficiently schedule HVAC and lighting systems to meet event and operational needs.
- Maintain public areas, service corridors, and storage rooms in a clean, safe, and efficient manner.
- Familiarize yourself with custodial procedures, including MSDS, equipment, chemical usage, and personal protective equipment.
- Integrate conversion and maintenance activities with customer service and programming.
- Monitor expenses and prepare budgets for labor, consumables, major repairs, maintenance, and custodial activities.
- Maintain relationships with contractors, fire inspection, elevator, and sprinkler agencies to ensure code compliance and resolve maintenance concerns.
- Assign work projects to staff and provide directions to improve methods and productivity.
- Analyze event information to meet users’ equipment and service needs, prepare staff schedules, and develop work plans for setup, operation, and teardown crews.
- Recommend building modifications, updated equipment, or procedural changes to maximize energy efficiency.
- Establish and execute preventive maintenance on all equipment and systems, carrying out repairs as needed.
- Develop and maintain records and reports, including equipment inventories, accident/damage reports, monthly expenses, activity reports, and personnel records.
- Assist the Executive Director in creating a Capital Needs Assessment and long-range planning for venue and equipment updates.
- Perform snow removal from doorways and walkways, and spread ice-melting materials.
- Oversee maintenance activities to ensure they are executed safely and professionally.

Supervisory Responsibilities
- Directly supervise part-time employees in the Operations Department.

- Appraise performance, reward and discipline employees, and address complaints and resolve problems.
Requirements
- Two-year degree or two years of experience in building conversion activities and mechanical repair. Other combinations of training/experience demonstrating the necessary knowledge, skills, and abilities will be considered.
- Ability to communicate effectively both orally and in writing.
- Thorough knowledge of methods, practices, equipment, and machinery used in facility maintenance, setups, operation, and teardowns.
- Knowledge of safety programs and ability to execute them.
- Basic knowledge of business management practices and procedures.
- Considerable knowledge of plumbing, heating, ventilation, and other mechanical, electrical, and building systems.
- Working knowledge of occupational hazards and necessary safety precautions.
- Ability to operate a forklift, scrubber, and other standard tools and equipment.
- Ability to hire, supervise, and train staff.
- Ability to develop budget recommendations and maintain records of event labor costs.
- Proficiency in using standard computer systems for building (HVAC, fire, etc.) and administrative (word processing, spreadsheets, etc.) purposes.
- Ability to work with minimal supervision, establish priorities, and prepare budgets.
Qualifications
- Current, valid driver’s license.
- Boiler’s, HVAC, or other skilled license or training is a plus.
- Ability to read and interpret safety rules, operating/maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to communicate effectively and courteously with lessees, user groups, their representatives, and the public.
- Proficiency in English (speaking and understanding).
- Ability to perform basic mathematical operations (addition, subtraction, multiplication, division) using whole numbers, fractions, and decimals.
- Ability to compute rates, ratios, percentages, and interpret bar graphs.
- Ability to apply mathematical concepts using Excel spreadsheets, calculators, or cash registers.
- Strong reasoning ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret instructions in written, oral, diagram, or schedule form.
- Ability to maintain composure in a fast-paced environment with multiple tasks and stimuli.
Physical Demands
- Regularly required to stand, reach with hands and arms, climb or balance, walk, sit, stoop, kneel, crouch, or crawl.
- Must regularly lift and/or move up to 50 pounds and occasionally lift and/or move more than 100 pounds.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Flexible work hours, including nights, weekends, and holidays.
- Ability to work varied schedules under diverse conditions and meet stringent time schedules.
Work Environment
- Frequently exposed to moving mechanical parts and high, precarious places.
- Occasionally exposed to fumes, airborne particles, toxic or caustic chemicals, outdoor weather conditions, risk of electrical shock, and vibration.
- Moderate noise level in the work environment.
