Facility Management Coordinator

About the role
The Facility Management Coordinator (Multiple Facility) is responsible for the daily clerical operations of the Multiple Facility Management department. Under the supervision of the Market Director, the Facility Management Coordinator performs a variety of administrative duties, including payroll functions, accounting reconciliation, organization of regulatory documents, and maintenance of policies/procedures.
The Facility Management Coordinator serves as the department subject matter expert for HCA Healthcare’s computerized maintenance management system (CMMS) and compliance program, which facilitates scheduling PMs, work order management, and vendor management. The Facility Management Coordinator shall also be responsible for supplies and parts management.
- Serves as receptionist for the department by greeting visitors, answering phones, relaying messages, scheduling appointments, and forwarding calls.
- Types letters, memos, minutes, and other documents as required.
- Publishes department work schedules.
- Manages department payroll and account reconciliation, including tracking of PTO, ordering department supplies, and reviewing invoices.
- Processes and distributes incoming department mail and correspondence.
- Gains familiarity with the language of HVAC systems, steam systems, and normal and emergency electrical systems, emphasizing systems and components typically found in acute care facilities.
- Exhibits proficiency with computer systems, organizational and problem-solving skills, independent judgement, and attention to detail.
- Manages staff workload, scheduling, assignment and completion of work orders, and preventative maintenance tasks using HCA Healthcare’s CMMS.
- Accepts or rejects incoming service requests, and assigns to appropriate technician.
- Assigns start dates and technicians to preventive maintenance activities.
Requirements
- High School Diploma, GED, or equivalent (Required)
- 1-year administrative experience in maintenance, engineering, or healthcare (Preferred)
