Responsibilities
- Submit and track construction permits for Redondo Beach and Mojave facilities
- Monitor permit status and coordinate with local agencies to ensure timely approvals
- Create and manage purchase requisitions in Coupa
- Track purchase orders, change orders, contract values, and project commitments
- Maintain spending against approved contracts and time-and-material agreements
- Issue updated not-to-exceed purchase orders as directed by Facilities Project Managers
- Track project expenditures, open commitments, and purchase order balances
- Serve as the primary point of contact for Facilities regarding requisitions, purchase orders, invoice status, and change orders
- Coordinate with Accounting, Purchasing, and Accounts Payable to resolve procurement and invoice-related issues
- Aid in contractor onboarding and documentation requests, including coordination with Accounts Payable as needed
- Maintain project records, permits, contracts, purchase orders, and construction documentation
- Create and maintain project schedules, milestones, and status reports
- Assist Facilities Project Managers with project planning, schedule updates, and project execution
- Cover communication among contractors, vendors, project managers, Accounting, Purchasing, and Facilities teams
- Support project closeout activities and ensure documentation is properly retained
- Identify schedule, procurement, or project execution issues and escalate as appropriate
Requirements
- High school diploma or equivalency certificate
- Demonstrated experience managing purchase requisitions, purchase orders, change orders, and vendor invoices
- Strong proficiency in Microsoft Excel, Outlook, Word, and project tracking tools
- Ability to manage multiple projects and priorities simultaneously in a fast-paced environment
Qualifications
- 3+ years of demonstrated experience in facilities, maintenance, construction administration, procurement, or a related support role
- Demonstrated experience with permit tracking and regulatory documentation processes
- Demonstrated experience with ERP and procurement systems (Coupa preferred)
- Demonstrated experience with maintenance CMMS systems
Skills
- Strong organizational and communication skills
- Ability to work independently and as part of a team
- Attention to detail and ability to manage multiple tasks
- Knowledge of U.S. export regulations, including ITAR and EAR
