About the role
The Facilities Coordinator supports the day-to-day operations with administrative and clerical duties. Reporting to the Account Manager and Area Operations Manager, this role involves work order management, coordinating and monitoring requests, preparing reports, and onboarding new vendors.
Responsibilities
- Assists with coordination and monitoring of all work orders and requests.
- Log all work orders in the monthly tracker.
- Dispatch QR’s “Quick Responses”.
- Prepare reports, memos, and other documents as needed.
- Onboard new vendors and one-time customers.
- Oversee billing processes by preparing, submitting, and tracking invoices, billable hours/services, ensuring accuracy and timely payment in coordination with finance or accounting departments.
- Communicate with staff & clients as needed directed by Account Manager.
- Aid in HR tasks such as employee new hires.
- Perform other duties as assigned.
Requirements
- At least one (1) year of Customer service experience
- Strong computer and communication skills
- Excellent organizational skills
- Ability to handle multiple tasks simultaneously
- Excellent attendance and punctuality
- Attention to detail with high accuracy
- Strong multi-tasking skills and ability to produce results under pressure
- Proficiency in Microsoft (Excel, Word, PowerPoint)
