Facilities and Special Projects Coordinator

About the role

Dover Street Market Los Angeles is seeking a hands-on Facilities & Special Projects Coordinator to execute and manage store improvement, maintenance projects, facilities upkeep, and repairs to maintain and enhance our store’s customer and employee experience. This position will work closely with the Operations Manager and Visual Merchandising Manager to provide facility maintenance, installation, and event support.

Responsibilities

• Special Projects – Installation and Event Support
  • Schedule and supervise 3rd party contractors during installations.
  • Maintain a flexible schedule to be on-site during all events and installations.
  • Assist with sourcing props for temporary and permanent use.
  • Support event organization and execution as needed.
  • Manage and update long-term storage fixture inventory.
• Facilities
  • Ensure the LA store and office are organized, clean, and safe.
  • Serve in an “on-call” capacity for after-hours emergencies.
  • Conduct physical inspections of the facility, grounds, and premises.
  • Execute corrective and preventative maintenance.
  • Maintain all facilities maintenance schedules, including HVAC, electrical, plumbing, cleaning, and pest control.
  • Uphold the highest safety standards in compliance with local laws, OSHA, and company best practices.
  • Ensure the fire alarm system is maintained in accordance with Fire Department Code and OSHA.
  • Monitor and oversee cleaning staff to ensure proper cleanliness and upkeep.
  • Monitor and oversee security staff to ensure all security protocols and standards are met.
  • Ensure the security system functions without interruption and schedule maintenance as needed.
  • Partner with IT to ensure all store systems are running correctly.
  • Assist with additional on-site tasks as needed.

Key Objectives

• Ensure all maintenance, repairs, cleaning, and safety adhere to Dover Street Market Los Angeles standards.
• Support the Visual and Special Projects team with ideation and execution of store installations and event production.
• Remain within budgets and be resourceful when unexpected repairs or services occur.
• Work closely with vendors to ensure all systems function without disruption.

Key Deliverables

• Ensure store, bakery, and office maintenance meet company standards.
• Maintain a hands-on and structured working environment.
• Ensure all OSHA requirements are met.
• Execute well-planned and timely repairs and scheduled work.
• Oversee and assist with all installations and events while in progress.

Qualifications

• Previous experience in facility maintenance required.
• Understanding of trades including plumbing, electrical, and HVAC.
• Ability to oversee contractors to ensure repairs and maintenance are executed correctly.
• Excellent project management skills.
• Effective communication and negotiation skills.
• Able to work independently and as part of a team.
• Knowledge of SketchUp and Adobe Creative Suite necessary.
