Responsibilities

  • End-to-End Event Oversight: Oversee all aspects of event planning, from initial concept through final execution, including pre-production, onsite management, post-event breakdown, and reconciliation.
  • Financial Management: Develop, manage, and reconcile project budgets up to $1.5M to obtain required profitability; conduct quarterly budget reviews with leadership to track profitability, identify losses, and mitigate future financial risks.
  • Client & Stakeholder Relations: Manage high-level client relationships and communications, ensuring all internal and external approvals and deadlines are met.
  • Cross-Functional Collaboration: Partner closely with internal producers, production management, design, and scenic teams to ensure the client’s vision and expectations are met seamlessly.
  • Documentation & Assets: Work with internal teams to create, collect, and properly store key event documentation (budgets, activation decks, production timelines, runs of show, pull lists, and contact lists) on the company server.
  • Design & Technical Direction: Oversee the direction and creation of line plans, elevations, and renderings alongside production management, design, and scenic teams.
  • Vendor & Partner Management: Source, negotiate, and manage vendor relationships—including cost and invoice approvals—while contributing to shared company databases for clients, vendors, and venues.
  • Permits & Compliance: Collaborate with production managers to secure necessary event permits and insurance requirements.
  • Business Development: Lead and/or participate in new business RFPs and presentations, including the creation of pitch decks.

Qualifications

  • Experience: Minimum of 8 years of experience in event production, experiential marketing, or live event management.
  • Must have red carpet experience.
  • Project Management: Proven ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment with exceptional attention to detail.
  • Leadership & Collaboration: Strong leadership skills to guide projects from concept to execution, with the ability to work effectively both independently and within a collaborative team.
  • Communication: Excellent verbal and written communication skills, including strong proofreading and editing abilities.
  • Tech Savviness: Proficiency with Microsoft Office, Google Workspace, Slack, Trello, and macOS environments.
  • Flexibility: Self-motivated and proactive professional with the willingness and ability to travel and work flexible hours, including evenings, weekends, and holidays as business needs require.
