What you'll be doing:

  • Support the EP and lead a team of Coordinators in managing all Production aspects of the events for one of our premiere tech client portfolios.
  • Program end-to-end ownership:
    • Lead program intake conversations with clients
    • Develop program estimates to align with agreed upon deliverables
    • Draft and route scopes of work for internal and external approval
    • Manage project teams of variable sizes 2 - 8 people from program kick off through conclusion
    • Build, communicate and maintain program schedules and deadlines
    • Facilitate cross department deliverables and communications (i.e. creative and strategy)
    • Lead project specific meetings and communications include topic prioritization and solution facilitation
    • Ensure program remains in compliance with internal and external requirements
    • Oversee timely reconciliation of projects including submission of costs
    • Collaborate with finance department to report and maintain program revenue predictions
    • Manage post-event internal and external debrief and learning documentations
    • Implement process and execution learnings and identify opportunities for improvement and efficiency
    • Maintain consistent professional process and standards across simultaneous projects
  • Staffing and vendor management:
    • Develop resourcing plans and secure program resources with support of internal resourcing team
    • SOURCE AND BRIEF VENDORS FOR PROGRAM DELIVERABLES
    • Negotiate vendor costs to meet budget expectations
    • Review vendor contracts and route for internal approval
  • Onsite execution and management:
    • Oversee onsite execution of programs including managing suppliers, troubleshooting and ensuring seamless attendee experiences
    • Develop onsite contingency plans

    What you'll bring to Jack:

    • 5 plus years of experience in the events industry or experiential agencies.
    • Technical skills required: Fluency in Google Workspace, Adobe Acrobat, experience with budget authorship / management / reconciliation and expense tools.
    • Experience with major tech clients and/or Fortune 100 brands preferred.
    • Deep experience in creating and managing event budgets - from creation to reconciliation - with the ability to speak to budget status and provide solutions.
    • Ownership of production schedules - from creation to execution.
    • Strong negotiation skills when it comes to vendors/partners and experience reviewing related contracts.
    • Problem solver ready to tackle any challenge - with the ability to be proactive, anticipate needs, and be resourceful with the ability to manage up and sideways effectively.
    • Cool under pressure - ability to work under tight deadlines.
    • Excellent attention to detail in any project you complete. You leave nothing to chance.
    • Great communicator in both written and verbal - ability to get your points across clearly and drive people to action.
    • Willingness and ability to travel with ease, including some weekends as needed.
    • Flexible and agile - open to learning new processes and prepared for unexpected situations that might pop up.
