About the role

As the Executive Administration Coordinator, you'll support our CEO and Executive Leadership Team directly, own the day-to-day experience of a growing office, and get a front-row seat to how a property & casualty insurance company actually runs. If you're organized, sharp, discreet, and energized by being the person people count on, this could be the launchpad for a long-term career.

Responsibilities

  • Support senior leadership by managing complex calendars and travel, preparing materials and correspondence, and anticipating needs before they become problems—all with the judgment and discretion this level of access requires.
  • Run the Seattle office as the go-to person for vendors, facilities, supplies, onboarding logistics, and anything that keeps the space safe, functional, and welcoming.
  • Own special projects by jumping into cross-team initiatives, tracking them to completion, and looking for ways to make the office and leadership team more effective.
  • Coordinate high-stakes meetings & events, from Executive Leadership Team meetings to Board meetings to the company's annual meeting, managing logistics start to finish.
  • Build real relationships across Home Office teams, agents, partners, and the community, while learning the insurance business from the inside out.

Requirements

  • Exceptional judgment and the ability to handle confidential information with total discretion
  • Sharp organizational instincts: you track details and follow through without reminders
  • A step-ahead mindset: you anticipate, notice, and act before being asked
  • Strong, professional communication with everyone from the CEO to a vendor to a Board member
  • Resourcefulness and comfort figuring things out on the fly
  • Curiosity about AI-powered productivity tools and everyday business tech
  • Willingness to be fully onsite in Seattle, with occasional flexibility for evenings/weekends

A bachelor's degree or equivalent experience is preferred—experience can come from internships, hospitality, customer service, campus leadership, or admin work. What matters most is initiative, judgment, and a genuine desire to learn and grow.

Why this role

This is designed to grow. Learn the business, build relationships across the company, take on more responsibility, and shape your own path as your interests develop. For the right person, this is a real opportunity to build a long-term career here.
