Position Overview
The Personal Assistant to the Chief Fashion Officer serves as a trusted strategic partner, ensuring the Chief Fashion Officer can operate at the highest level of effectiveness. This role goes far beyond calendar management; it requires exceptional organization, discretion, anticipation, and the ability to seamlessly manage competing priorities in an incredibly fast-paced fashion environment. You will serve as the gatekeeper, coordinator, and right hand to the Chief Fashion Officer, supporting daily operations, cross-functional communication, travel, meetings, sample management, and special projects. The ideal candidate is proactive, resourceful, highly organized, and passionate about fashion.
Key Responsibilities
- Executive Support
- Manage and maintain the Chief Fashion Officer's complex calendar, prioritizing meetings and resolving scheduling conflicts.
- Coordinate domestic and international travel, including flights, hotels, transportation, visas, itineraries, and expense reporting.
- Prepare daily schedules, briefing documents, meeting agendas, and presentation materials.
- Screen and prioritize emails, requests, and communications while maintaining strict confidentiality.
- Anticipate needs before they arise and proactively solve problems.
- Fashion & Creative Operations
- Coordinate product reviews, fittings, trend meetings, and design presentations.
- Organize samples, look books, mood boards, and seasonal product materials.
- Track deadlines for seasonal milestones, market appointments, photo shoots, and vendor meetings.
- Assist with preparation for buying trips, fashion weeks, and international travel.
- Ensure samples and collections are organized and delivered on schedule.
- Project Coordination
- Track multiple ongoing projects across Design, Merchandising, Production, Marketing, and Product Development.
- Follow up with cross-functional partners to ensure deliverables remain on schedule.
- Maintain project trackers, action items, and meeting recaps.
- Support special projects and business initiatives led by the Chief Fashion Officer.
- Administrative Excellence
- Process invoices, purchase orders, expenses, and departmental administrative requests.
- Coordinate team meetings, leadership off-sites, and department events.
- Prepare presentations, reports, and executive documents.
- Organize digital files, contracts, and confidential records.
- Serve as a liaison between internal departments and external partners.
- Relationship Management
- Build strong working relationships across all levels of the organization.
- Represent the Chief Fashion Officer with professionalism and discretion.
- Communicate effectively with vendors, agencies, executives, and international partners.
Qualifications
- 3+ years of experience supporting a senior executive, preferably within fashion, retail, luxury, beauty, or consumer brands.
- Experience supporting C-level or executive leadership strongly preferred.
- Exceptional organizational and time management skills.
- Ability to manage multiple priorities in an extremely fast-paced environment.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Advanced proficiency in Google Workspace, Microsoft Office, and presentation software.

Salary range: $90,000-100,000
