Executive Assistant to the CEO
About the role
The CAR Group is seeking an Executive Assistant to the CEO who will operate with a high degree of autonomy and strategic partnership. This role requires exceptional organizational skills, the ability to manage multiple priorities, and the capacity to work independently at the highest levels.
Responsibilities
Full, delegated control over the CEO's calendar, ensuring it aligns with his priorities and goals.
All inbound communication, filtering and managing the CEO's inbox to ensure the right things get his attention at the right time.
A single, trusted master task list that keeps all commitments visible and on track.
Travel logistics from start to finish, ensuring the CEO only needs to show up.
Key operational and financial data, gathered and presented in a clear, pre-scheduled format to support the CEO's decision-making.
Meeting prep and follow-up, including attending or shadowing meetings on the CEO's behalf and summarizing what matters.
Cross-functional communication between the executive team, operational managers, and outside vendors.
Project management for initiatives the CEO hands off, seeing them through to completion.
The CEO's office environment and workflow, ensuring smooth operation without friction or surprises.
Clean, well-maintained Asana project boards, driving smart use of the CRM to track projects, tasks, and travel logistics.
Evaluation and integration of AI and automation tools alongside the Legal and IT teams to keep the EA/CEO partnership running efficiently.
Personal support and coordination for the CEO, including his personal calendar, occasional family and household logistics, and liaising with outside contacts like YPO members on his behalf.
Requirements
Extremely professional and well-spoken, representing the CEO and the company well in every interaction.
Highly independent and self-directed, performing at a high level without needing constant supervision.
Driven and motivated, with a genuine appetite for learning and growth.
Logical rather than emotional under pressure, keeping a clear head when priorities shift or things don't go as planned.
Skilled at juggling many moving pieces at once and pivoting quickly without losing quality or composure.
A natural problem solver who brings solutions to the table, not just flags issues.
Discreet, with sound judgment and the ability to handle sensitive and confidential information at all times.
Qualifications
5-10 years of experience directly supporting a CEO or other C-level executive.
Comfortable working in an office environment five days a week.
Skills

Discretion and handling of sensitive information.
