About The Role

We are seeking a highly organized and proactive Executive Assistant to support our Chief External Affairs Officer (CEAO) and Chief Strategy & Impact Officer (CSO).

This full-time, remote position requires a dedicated professional who can effectively manage complex schedules, coordinate travel, handle confidential communications, and facilitate seamless day-to-day operations for senior leadership.

The ideal candidate will possess a solution-oriented mindset, exceptional communication skills, and the ability to anticipate the needs of executives in a fast-paced environment.

Reporting directly to the CEAO and CSO, the Executive Assistant will play a vital role in ensuring that the leadership team’s priorities are managed efficiently, enabling the organization to achieve its strategic goals and continue its impactful work supporting domestic workers and marginalized communities across the country.

Qualifications

  • Demonstrated experience as an Executive Assistant or administrative professional supporting senior or C-suite leadership.
  • Proficiency in calendar management, complex travel arrangements, expense reporting, and executive support protocols.
  • Excellent organizational skills with keen attention to detail and the ability to prioritize multiple tasks effectively.
  • Strong written and verbal communication skills, with a diplomatic and discreet approach to sensitive information.
  • Proficiency in Google Workspace, including Google Calendar, Docs, and Sheets.
  • Able to work independently and collaboratively within a dynamic, fast-paced environment.
  • Based in the Eastern or Central time zone and available to work during standard hours (10:00 a.m. - 6:00 p.m. ET).
  • Growth mindset with a positive, solution-oriented attitude.

Responsibilities

  • Manage the calendars of the CEAO and CSO, scheduling meetings, appointments, and prioritizing commitments to optimize their time.
  • Aid with confidential matters, including handling sensitive documentation, personnel issues, and management policies.
  • Cook up complex travel arrangements, including flights, accommodations, and itineraries, ensuring cost-effectiveness and efficiency.
  • Prepare and submit detailed expense reports promptly and accurately.
  • Act as a liaison for internal teams and external stakeholders, facilitating effective communication on behalf of the executives.
  • Prepare meeting materials, briefing documents, agendas, and capture notes, tracking action items and follow-up tasks.
  • Cook up logistics for meetings, retreats, and organizational events, ensuring smooth execution.
  • Maintain and organize contact lists, digital records, and files, supporting efficient information management.
  • Proactively identify potential issues, develop solutions, and contribute to continuous process improvements.
  • Track deadlines and priorities across the External Affairs department, ensuring timely completion of projects.
  • Participate in organization-wide activities such as retreats, all-staff meetings, and special events.

Benefits

  • Competitive salary range of $66,950 - $75,000.
