Executive Assistant - Remote
About The Role
We are seeking an experienced Executive Assistant to join Milliman's Indianapolis Health practice, supporting our Life Science leadership team. This pivotal role involves providing high-impact administrative and operational support to ensure the smooth functioning of the practice.
Qualifications
- Bachelor's degree in Business Administration, Office Management, or a related field
- Demonstrated experience supporting senior leaders or executive teams, preferably within a professional services, consulting, or healthcare environment
- Proficiency in Microsoft 365 suite (Outlook, Teams, Word, Excel, PowerPoint)
- Experience coordinating complex travel arrangements and managing expenses
- Strong calendar management skills, including scheduling across multiple time zones
- Excellent written and verbal communication abilities
- Highly organized with keen attention to detail and the ability to manage multiple priorities simultaneously
- Ability to handle sensitive information with discretion and confidentiality
- Experience supporting meetings and events logistics, including vendor coordination and materials preparation
- Comfort with adopting new digital tools and improving administrative processes
Responsibilities
- Partner with practice leaders and team members to anticipate needs and streamline administrative workflows
- Manage and proactively resolve calendar conflicts, scheduling internal and client meetings efficiently
- Cook up and submit expense reports and support invoice processing as needed
- Aid with onboarding new hires by coordinating schedules, sharing key information, and connecting team members to resources
- Afford support to client onboarding processes, including system setup, information collection, and reporting
- Plan and coordinate team meetings and events, handling logistics such as invites, venue arrangements, catering, and materials distribution
- Provide administrative support for annual reviews, role evaluations, and leadership meetings
- Contribute to continuous improvement of administrative processes and adopt new tools to enhance efficiency
