Executive Assistant
About the role
The Executive Assistant helps Clearwater run smoothly by supporting leadership and maximizing their productivity. You'll act as a trusted right hand to senior executives — managing complex calendars, travel, and communications, while also helping drive key projects and events across the business.
Responsibilities
- Serve as primary point of access for your executive(s), managing complex calendars — including vetting, prioritizing, and recommending how time is spent — and ensuring they're fully prepared for every meeting
- Coordinate end-to-end travel, including air, ground transportation, hotels, and international travel documentation (visas, etc.)
- Draft internal and external communications on behalf of your executive, and manage the flow of information across all levels, internal and external
- Track key deliverables, follow up on outstanding items, and ensure requests are handled with the right level of urgency
- Manage expense reporting, including submitting receipts and processing expense statements in a timely manner
- Manage projects, meetings, and large-scale events from budget planning through logistics (e.g., company-wide town halls, the annual company party)
- Aid in annual calendar planning and help prioritize business activities across the org
- Process expense reports, assist with budgets and headcount planning, and help resolve AP/AR issues
- Partner with Facilities, IT, and Security to troubleshoot logistical issues
- Support full-cycle executive recruiting — scheduling interviews, coordinating between hiring teams and candidates, and assisting with onboarding
Requirements
- 2+ years of experience supporting multiple senior executives simultaneously
- Excellent verbal and written communication skills
- A professional, mature demeanor and the ability to work effectively with a wide range of personalities
- Strong planning, prioritization, and time management skills
- Experience with international travel booking and visa requirements
- Proficiency in MS Office Suite
- Sharp attention to detail, discretion, and the ability to manage confidential information
- A high-energy, curious mindset with a genuine passion to learn and contribute
Qualifications
- Bachelor's degree in business administration, communication, or a related field
- Familiarity with (or interest in learning about) financial markets

- Attention to detail and accuracy in data entry and record-keeping

Pay
$54,000.00 - $70,000.00
This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on relevant experience, other job-related qualifications/skills, and geographic location (to account for comparative cost of living).
