Responsibilities
- Manages complex calendars and coordinates executive-level meetings for the Senior Executive by prioritizing appointments and providing relevant support material in a timely manner.
- Coordinates Outlook calendars and meeting setups for the Senior Executive and other members of the Quality, Infection Prevention, and Safety team.
- Provides administrative support to the Senior Executive, resolving issues not requiring their direct attention; acts as liaison between the Senior Executive and hospital departments.
- Offers project and daily assistance for the SVP and other members of the Quality, Infection Prevention, and Safety Departments.
- Prepares agendas, PowerPoint presentations, and other information packets for Quality and Regulatory meetings; ensures timely distribution; records minutes of these meetings and distributes to appropriate individuals.
- Assists with coordination of regulatory surveys.
- Manages travel arrangements as needed.
- Prepares purchase orders, requisitions, check requests, and invoice reconciliation for accounts payable.
- Coordinates Kronos timecard system for the department staff, including coordination and approval process by SVP for vacation, holiday schedules, and other time-off requests.
- Maintains employee attendance records (including vacation time, sick days) and processes timecards for department employees.
- Orders and manages office supplies.
- Manages Resource Center requests, room reservations, and coordinates maintenance and facility requests for the department.
- Coordinates room availability for the Quality Conference Room.
- Delivers customer service with respect, flexibility, knowledge, confidence, professionalism, pleasant attitude, patience, and helpfulness; ensures timely, professional, caring, and respectful responses in accordance with Customer Service Performance expectations.
- Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.
- Assesses gaps in policies and procedures and creates necessary policies to fulfill these gaps.
- Performs other related duties as required.
Requirements
- High School education required; associate or bachelor's degree a plus.
- 2 or more years’ experience providing administrative support to a Senior Executive, preferred.
- 1-3 years of healthcare experience a plus.
- Office setting experience required.
- Strong computer skills required; proficiency in Microsoft Office and statistical software (willing to train).
- Able to multitask and meet deadlines.
- Good record of timeliness and attendance.
- Understands and adheres to the Medical Center’s Code of Conduct.
- Familiar with the Medical Center’s Mission, Vision, and Values Statements.

Pay
$55,000 - $75,000 annually
