About the Opportunity
The Executive Assistant (Practice Operations) acts as a trusted partner to executive leadership, enhancing effectiveness and decision-making by reducing friction and improving coordination. This role is central to supporting a fast-paced leadership team across executive support, project coordination, communications, and operational tasks, ensuring key priorities move forward smoothly.
Responsibilities
- Manage complex calendars, schedules, and executive priorities
- Coordinate travel, meetings, retreats, and team events
- Prepare meeting materials, agendas, and follow-up communications
- Track action items and assist with the completion of commitments
- Support expense management and submission processes
- Assist with presentation preparation, proofreading, and version control
- Conduct document comparisons and redline reviews
- Draft correspondence and support executive communications
- Facilitate legal review and contract coordination
- Organize recruiting activities and human resources workflows
- Support internal communications and all-hands meetings
- Assist with professional development, goal tracking, and policy administration
- Coordinate special projects and annual planning efforts
- Gather information from leaders and team members
- Maintain project plans and timelines across initiatives
- Participate in confidential meetings and manage sensitive materials
- Support compensation and people-related processes with discretion
- Implement process improvements and utilize AI tools to increase efficiency
- Proactively identify and resolve operational obstacles
Requirements
- Seven or more years of experience supporting executives or complex operations
- Strong service orientation and commitment to the success of others
- Excellent organizational skills and attention to detail
- Effective written and verbal communication skills
- High level of discretion, integrity, and judgment
- Ability to manage multiple priorities simultaneously
- Competent project coordination and administrative capabilities
