Executive Assistant, Operations & Projects (C Suite)

About the role
The Executive Assistant, Operations & Projects provides strategic, operational, and administrative support to senior leadership while independently managing cross-functional projects and initiatives. This role goes beyond traditional EA responsibilities and requires strong project management capabilities, business acumen, and hands-on experience leveraging AI tools to improve efficiency, decision-making, and execution. The ideal candidate is highly organized, proactive, discreet, and comfortable operating in a fast-paced, evolving environment while acting as a trusted partner to leadership.
Responsibilities
- Executive Support
- Serves as a trusted partner to the executive(s), managing complex calendars, meetings, travel, and communications
- Prepares agendas, presentations, briefing materials, reports, and executive-level correspondence
- Anticipates executive needs and proactively resolves issues before they arise
- Acts as a liaison between the executive and internal/external stakeholders
- Handles sensitive and confidential information with discretion and sound judgment
- Project & Program Management
- Leads and manages cross-functional projects from intake through completion, including timelines, milestones, risks, and deliverables
- Coordinates with internal and external partners to ensure alignment and execution
- Tracks progress, dependencies, and action items; follows up to ensure accountability
- Develops project plans, dashboards, and status updates for leadership
- Supports change management and process improvement initiatives
- AI & Process Enablement
- Leverages AI tools (e.g., ChatGPT, Copilot, EliseAI, workflow automation tools) to improve productivity, documentation, analysis, and decision support
- Uses AI to draft communications, summarize meetings, create presentations, analyze data, and streamline recurring processes
- Identifies opportunities to automate workflows, reduce manual work, and improve operational efficiency
- Partners with leaders to pilot and scale AI-enabled solutions across administrative and business processes
- Maintains awareness of emerging AI tools and best practices relevant to executive support and project management
- Operational & Business Support
- Creates and maintains systems for tracking priorities, decisions, and follow-ups
- Supports budgeting, forecasting, and vendor coordination as needed
- Assists with planning offsites, leadership meetings, and strategic initiatives
- Ensures deadlines are met and commitments are fulfilled
Requirements
- Required Experience:
- 5+ years of experience as an Executive Assistant, Project Manager, Chief of Staff–type role
- Experience supporting C-suite or senior executives
- Familiarity with project management methodologies and tools (e.g., Asana, Monday.com, Smartsheet, Jira, or similar)
- Experience with workflow automation, data analysis, or AI-assisted reporting
- Required Education/Training:
- Bachelor’s degree in Business Administration, Communications, Project Management, or related field
- Required Skills and Abilities:
- Demonstrated experience managing projects with multiple stakeholders and competing priorities
- Hands-on experience using AI tools in a professional setting to enhance efficiency and outcomes
- Strong organizational, analytical, and problem-solving skills
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and judgment
Pay
Salary range: $105,000.00–$120,000.00 annually. Individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
