Executive Assistant, National Programming & Artist Relations

About the role

iHeartMedia is seeking an Administrative Assistant to support the National Programming Group and Artist Relations Executives. This role reports to the SVP of Artist Relations and involves administrative tasks such as meeting scheduling, expense processing, and coordination.

Responsibilities

  • Schedules meetings and maintains calendars for label/management and internal executives.
  • Coordinates travel arrangements and processes expenses for the National Programming Group and Artist Relations Executives.
  • Assists with the preparation and management of the Music Summit, including creating save the dates, label scheduling, distributing invites, and coordinating label presentations.
  • Maintains program trackers for Audio campaigns, AIPs, World Premieres, On the Verge, Takeover Hours, etc.
  • Assembles year-end department impact reports.
  • Manages industry contact database on behalf of iHeart.
  • Supports talent asset outreach as needed.
  • Collects and distributes assets to aid in creative development for national programs and events.
  • Develops artist profile pitches for clients as needed.
  • Provides detailed recaps for labels following content launches and extended marketing plans.
  • Calculates valuations for national contests, editorial features, and social promotions.
  • Manages the On The Verge and Titanium Award processes, including identifying artists to be recognized, submitting requests, drafting and sending communication, and coordinating messaging across departments.
  • Follows up with artists' camps to ensure social support.
  • Assists with original content shoots as needed.
  • Pulls social links around tentpole events.
  • Drafts, distributes, and orchestrates industry VIP invites and fulfillment at Tentpole Events.
  • Represents iHeartRadio National Artist Relations team at local shows and artist showcases.
  • Manages the Department Internship Program.

Requirements

  • Exceptional attention to detail with the ability to manage sensitive information, complex schedules, and high-volume communications with accuracy.
  • Proven ability to multitask and effectively prioritize competing demands in a fast-paced, deadline-driven environment.
  • Strong organizational and project management skills, with the ability to anticipate needs and proactively solve problems.
  • Excellent written and verbal communication skills, with a professional and polished demeanor when interacting with artists, management teams, executives, and external partners.
  • Demonstrated professionalism and poise in working with artists, talent representatives, and senior industry stakeholders.
  • Able to handle sensitive talent and executive relationships with discretion, diplomacy, and confidentiality.
  • Demonstrated experience supporting senior-level executives, preferably within entertainment, music, media, or a related industry.
  • Strong relationship-building skills and a customer-service mindset, with the ability to work effectively across all levels of an organization.
  • High proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), Canva, and calendar management tools.
  • Ability to adapt quickly to changing priorities and remain calm under pressure.
  • Bachelor's degree or equivalent relevant work experience preferred.

Pay

Salary to be determined by multiple factors including but not limited to relevant experience, knowledge, skills, other job-related qualifications, and alignment with market data. Range: $27.20 - $34.00

Full-time, Regular Time Type.
