About the role

The Executive Assistant supports the AWS IDEAS Director, assisting in running the business and guiding the organization. They manage and prioritize the Director's time and attention, acting as a seamless extension of their function. The EA must understand the business and its people, anticipate issues, and maintain a good sense of humor in ambiguous situations.

Responsibilities

  • ATTENTION MANAGEMENT: Filter all inbound requests to prioritize important people, projects, and issues.
  • MEETING COORDINATION: Schedule and organize meetings, ensuring they are necessary and productive.
  • CALENDAR MANAGEMENT: Maintain a clear and organized calendar, continuously improving efficiency.
  • TRAVEL PLANNING: Arrange all aspects of travel, including itineraries, accommodations, transportation, and expenses.
  • EVENT PLANNING: Organize and oversee organizational events such as leadership offsites.
  • TRUSTED ADVISOR: Be the eyes and ears of the director, raising and advising on potential issues requiring the director's focus.

Requirements

Experience with Microsoft Office products and applications, 5+ years of senior level leadership support experience, experience with executive level calendar management, experience with domestic or international travel coordination, and experience working with large global teams are preferred. Experience leading process improvements, working in a fast-paced, high-tech company, and supporting a technical, data, engineering, analytics, or science team is also preferred. Experience supporting senior leaders in a large, global, or matrixed organization is a plus.

Qualifications

Detail-oriented, efficient, experienced planner, triaging, prioritizing, and responding effectively to tasks while maintaining flexibility, composure, and a good sense of humor in ambiguous situations. Observant and curious learner, able to pick up nuances of the business and directors' communication and collaboration preferences, earning trust to handle confidential and sensitive information, and acting on directors' behalf.
