About the role

The Executive Assistant supports the CFO and VP of Finance at Mozilla Corporation. This role is high-trust, central to Mozilla's Finance organization, and involves supporting two senior leaders.

Responsibilities

  • Act as a trusted partner and extension of the CFO and VP of Finance, providing proactive, high-level support.
  • Prioritize and sequence meetings, resolve conflicts, protect focus time, and align scheduling with Finance deliverables, Board cycles, and enterprise priorities.
  • Own complex, fast-moving calendars across both leaders.
  • Run the operating rhythm of the CFO's office: plan and facilitate Finance and leadership meetings, prepare agendas and materials, capture decisions and action items, and drive follow-through.
  • Prepare and refine executive-level presentations, reports, briefing materials, and correspondence for leadership meetings, business reviews, and external stakeholders.
  • Cook up and manage expense reports for domestic and international travel.
  • Serve as a key point of contact between the executives, their teams, and internal and external partners, ensuring timely, professional communication and follow-up.
  • Coordinate logistics for team offsites, work weeks, and events.
  • Partner with other administrative colleagues on team communications, recognition moments, onboarding, and cross-team needs.
  • Handle highly confidential information - financial, transactional, and personnel - with the utmost discretion.

Requirements

7-10 years of executive administrative experience supporting one or more senior executives in a technology company or multi-location environment (calendar, travel, expenses, meeting support).

Proven discretion and sound judgment with highly confidential and sensitive information, and comfort working closely with senior executives and Board members.

Strong coordination and process management, with a bias toward anticipating needs and bringing options and recommendations rather than waiting for direction.

A self-starter who thrives in a fast-paced environment, manages ambiguity and competing demands, and follows through with accuracy and attention to detail.

Excellent written and verbal communication skills.

Proficiency with Google Workspace.

Familiarity with finance terminology, or experience supporting a Finance or executive team, is a plus.

Qualifications
