The Executive Assistant provides comprehensive support to multiple executives, handling projects and processes requiring the highest level of discretion and judgment.

Responsibilities

  • Manage correspondence and prepare meeting materials for key internal and external meetings.
  • Prepare documents, spreadsheets, slide presentations, agendas, financial reports, special projects, and other materials in support of organizational objectives.
  • Regularly communicate with executives, internal partners, and external parties to ensure they are prepared for meetings and events.
  • Handle sensitive matters with a high level of confidentiality and discretion.
  • Organize and maintain confidential data and information with the utmost integrity.
  • Prepare expense reports, process invoices, and monitor budgets for supported areas.
  • Perform general office duties such as ordering supplies, maintaining records management systems, and assisting with daily operations.

Requirements

  • High School Diploma or GED equivalent.
  • A minimum of 8 years of experience supporting Executives.

Skills

  • Ability to work fast and accurately under pressure while maintaining a professional disposition.
  • Impeccable organizational and time management skills with the ability to adapt and juggle multiple priorities effectively.
  • High proficiency in Microsoft Office Suite (PowerPoint, Word, Excel, Outlook, and Teams).
  • A proactive and solution-oriented mindset, anticipating needs and taking initiative.
  • High level of interpersonal skills and professionalism to interact with all levels of executives, both internally and externally, as well as Board members.
  • Ability to perform administrative duties using independent judgment, personal initiative, and resourcefulness.
  • Strong project management skills.
  • Excellent communication skills (both verbal and written).
  • High level of integrity and the ability to maintain confidentiality with sensitive information.
  • Excellent phone and customer service skills.

Preferred Qualifications

  • Associate's degree in office management or a related field.
