Virginia Commonwealth University (VCU) School of Medicine, a premier academic medical center in Richmond, is seeking an Executive Assistant to the Department Chair and Vice Chairs of Clinical Operations, Education, and Research within the Department of Family Medicine & Population Health.

About the role

The Executive Assistant provides exceptional executive-level organizational and administrative support, serving as a communication hub for the Department’s senior leadership. This role requires discretion, independent judgment, and the ability to manage highly confidential requests in a fast-paced environment.

Responsibilities

  • Organize and coordinate efforts between the Department of Family Medicine and Population Health and other academic units to achieve program goals.
  • Manage projects and communication using independent judgment; report progress and issues to the Department Chair and resolve potential issues proactively.
  • Anticipate the needs of senior leadership, including scheduling meetings and ensuring accurate, timely communication.
  • Provide comprehensive administrative support for events and special projects.
  • Coordinate all aspects of meeting arrangements: invitations, location setup, equipment, meeting documentation (agendas, presentations, handouts), catering, parking, and travel.
  • Manage PC hardware, software, and network installation, troubleshooting, and repair requests.
  • Prioritize and manage multiple projects, ensuring successful follow-through.
  • Perform additional duties and participate in special projects to support the mission of VCU Health System and the Department.
  • Assist team members as needed.

Requirements

  • Minimum of 5 years of experience as a senior-level administrative assistant supporting organizational leadership.
  • Strong computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and Google apps.
  • Professional demeanor with excellent people and communication skills.
  • Ability to navigate ambiguity in a fast-paced, rapidly changing environment.
  • Demonstrated commitment to fostering an environment of respect, professionalism, and civility across diverse faculty, staff, and students.

Preferred Qualifications

  • 7 to 10 years of experience as a senior-level administrative assistant supporting organizational leadership.
  • Bachelor’s degree in communication, business, management, or a related field.
  • Experience in higher education, an academic medical center, or a large healthcare organization.

Pay

$41,900–$67,000, commensurate with experience.

Schedule
