Executive Assistant (Commercial Sales & Marketing Specialist)
About the Role
The Executive Assistant provides high-level executive, administrative, and operational support to the SVP Commercial Sales & Marketing, IV Therapy & Nutrition. This hybrid position serves as a trusted partner in managing executive priorities, coordinating complex schedules and travel, preparing communications and presentations, facilitating meetings and events, and supporting key business initiatives. The role also provides administrative and operational support to the broader leadership team and organization. The selected candidate will work onsite in Lake Zurich, Illinois, 3 days a week.
Responsibilities
- Executive & Leadership Support:
- Provide comprehensive executive support to the SVP Commercial Sales & Marketing, proactively managing priorities and anticipating needs.
- Manage complex calendars, meetings, domestic and international travel, itineraries, correspondence, briefing materials, and confidential communications.
- Prepare agendas, reports, presentations, meeting materials, and executive-level communications.
- Serve as a key liaison between the SVP, leadership team, employees, internal functions, customers, and external partners.
- Handle sensitive and confidential information with professionalism and discretion.
- Business & Sales Operations:
- Support the IV Therapy & Nutrition leadership team with fleet activities, vendor credentialing, employee rosters, organizational charts, and business resources.
- Coordinate cross-functional initiatives involving Sales, Marketing, Finance, HR, Procurement, Legal, and IT.
- Track business priorities, deliverables, and deadlines; follow up with stakeholders for timely execution.
- Maintain department resources, SharePoint sites, confidential files, and business records.
- Identify opportunities to streamline processes and improve organizational effectiveness.
- Meetings, Events & Employee Support:
- Plan and coordinate leadership meetings, department events, sales meetings, business planning sessions, and team-building activities.
- Manage event logistics, including facilities, technology, catering, travel, and materials.
- Coordinate employee onboarding, transfers, and offboarding with HR and other functions.
- Support employee recognition, engagement initiatives, and organizational communications.
- Financial & Procurement Support:
- Coordinate expense reporting, invoice processing, purchase requests, and vendor onboarding.
- Assist with budget tracking, expense monitoring, and reconciliation.
- Partner with Finance, Procurement, and vendors to ensure compliance and resolve issues.
- Reporting, Analytics & Presentations:
- Create spreadsheets, trackers, reports, dashboards, and presentations for leadership.
- Analyze business information to identify trends and provide recommendations.
- Develop executive-level PowerPoint presentations for C-Suite and senior leadership.
- Consolidate information from multiple stakeholders into clear, concise reports.
Requirements
- High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred).
- Minimum 5 years of progressively responsible executive administrative or business operations experience.
- Experience supporting senior executives in a complex corporate environment preferred.
- Experience in Sales, Commercial, Marketing, or similar dynamic organizations preferred.
- Proven ability to coordinate large meetings, events, travel, and cross-functional initiatives.
- Exceptional organizational and time-management skills.
- Strong business acumen and analytical skills.
- Advanced proficiency in Microsoft Office (PowerPoint, Excel, Outlook, Word, Teams, SharePoint).
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Ability to adapt to changing priorities in a fast-paced environment.
- Occasional travel required.
- Proficiency in English (spoken and written) is essential.
Pay
Salary Range: $34.00 - $39.00 per hour. Final pay determinations will depend on experience, education, skills, and abilities.
