About the role

This position involves supporting the Executive Officer and the Corporate M&S Team. The primary responsibilities include managing the EVP, Sales & Marketing calendar and meeting schedule, coordinating travel plans, preparing expense reports, and assisting with various administrative tasks.

Responsibilities

  • Manage EVP, Sales & Marketing calendar and meeting schedule.
  • Cook up and process expense reports in a timely manner.
  • Coordinate complex schedules with other corporate/regional stakeholders, including travel arrangements and logistics.
  • Handle confidential information with professionalism and discretion.
  • Aid in the compilation and/or preparation of routine reporting for EVP’s review.
  • Draft and edit emails, memos, presentations, and internal communications.
  • Aid in the preparation and distribution of regional, brand, and/or departmental communication.
  • Liaise with the Senior Admin Assistant for effective leadership onboarding.
  • Aid in the planning and coordination of meetings/conferences.
  • Attend meetings and conference calls as requested.
  • Arrange for scheduled visitors, including arranging hoteling space and security passes as required.
  • Aid in printing and document preparation.

Requirements

  • Minimum of three years of administrative or office coordination experience, preferably within the timeshare industry.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint, SharePoint).
  • Excellent organizational and time management skills to manage multiple tasks, projects, and juggle priorities.
  • Strong problem-solving abilities and a proactive mindset.
  • Excellent interpersonal skills to engage with cross-functional teams, customers, field leaders, and senior leaders to achieve set goals.
  • Ability to work flexibly and effectively with others (team player).
  • Proven ability to recognize and provide the appropriate level of detail required by each stakeholder.
  • Demonstrated critical thinking skills.
  • Excellent verbal and written communication skills.

Qualifications

  • Bachelor's degree in business administration or a related discipline, preferred.
  • At least five years of post-study work experience.
  • High school diploma/G.E.D. equivalent required.

Skills

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint, SharePoint).
  • Working knowledge of Power BI is advantageous.
  • A professional demeanor, well-organized, innovative thinker, and strong attention to detail.
  • Strong problem-solving abilities and a proactive mindset.
  • Excellent interpersonal skills to engage with cross-functional teams, customers, field leaders, and senior leaders to achieve set goals.
