About the role

The Senior Executive Administrative Assistant at Transamerica provides dedicated support to the Chief Financial Officer (CFO) and the finance leadership team. This role involves managing complex calendars, coordinating travel arrangements, processing expenses, handling approvals, and facilitating executive communications. The ideal candidate is a highly organized, proactive professional capable of building strong relationships across various teams and stakeholders. During a period of significant organizational change, this individual will play a key role in ensuring the smooth operation of finance functions.

This role offers a hybrid work environment, requiring three days in the office per week at designated hub locations. The position provides an opportunity to work in a dynamic, inclusive environment supporting the company’s mission to help individuals plan for a secure and prosperous future.

Responsibilities

  • Prepare and edit confidential correspondence, reports, presentations, and other documents
  • Compile data and prepare complex reports, summaries, and responses to inquiries
  • Act as a liaison between the CFO and internal/external stakeholders
  • Screen and direct telephone calls, providing accurate information and assistance
  • Manage calendars, schedule meetings, and coordinate travel arrangements for senior leadership
  • Apply in-depth knowledge of the organization to support projects of small to medium scope
  • Determine appropriate methods and procedures for resolving complex inquiries, exercising sound judgment
  • Maintain highly confidential files and ensure compliance with data privacy policies
  • Operate with a high degree of independence, discretion, and professionalism
  • Support the finance team during organizational changes by providing administrative assistance as needed

Qualifications

  • High school diploma or equivalent
  • Minimum of 5 years of administrative experience supporting senior executives
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • Ability to handle sensitive and confidential information with discretion
  • Experience managing complex calendars and travel arrangements
  • High level of analytical and problem-solving skills
  • Preferred: Associate’s degree or higher
  • Preferred: Experience within financial services or corporate environments
