We have a great opportunity for an Executive Administrative Assistant at our Frisco headquarters. This position is a critical role that supports the SVP Innovation & Transformation, the VP Marketing Analytics & Information, the VP Marketing Technology, and their respective teams. About the Role

This role requires an individual with sound business judgment and the ability to make independent decisions in a fast-paced environment. Advanced proficiency in Microsoft Office (PowerPoint, Word, Excel) and excellent written and verbal communication skills are essential. The ability to anticipate needs, think critically, and offer solutions is a plus.

Responsibilities

  • Customer Service and Communication:
    • Deliver legendary customer service to all stakeholders, including employees, peers, customers, and vendors.
    • Demonstrate strong influencing, interpersonal, and communication skills to engage effectively with executive-level management and external contacts.
    • Proactively anticipate the needs of SVP/VP’s, address issues, and resolve problems quickly.
    • Escalate departmental issues that require immediate attention.
  • Ambassador of Our Culture:
    • Assist with team culture initiatives to foster a caring and collaborative work environment.
    • Support Marketing Capabilities with building and executing Marketing Training programs, including college recruiting events, in-market training logistics, onboarding new hires, and addressing training needs.
    • Maintain a positive, “can-do” attitude and promote enterprise-wide collaboration.
    • Collaborate with other Marketing administrative assistants to share best practices.
  • Planning and Organizing:
    • Calendar Management: Proactively manage and prioritize calendars and itineraries to optimize the SVP’s/VP’s time and resolve scheduling conflicts.
    • Travel Management: Arrange travel for SVP/VP’s, including booking travel and preparing detailed travel packets with calendar blocks.
    • Budget Management/Reports:
      • Manage T&E expense reports for the SVP and two VPs using the internal Concur System.
      • Review and approve expense reports for direct reports, ensuring T&E compliance and resolving errors.
      • Prepare periodic reports (e.g., monthly billing reports, invoices) and monitor/update budgets, researching discrepancies as needed.
    • Meeting Management:
      • Assist SVP/VP’s and direct reports with meeting preparation, including booking rooms, managing AV needs, sending invites, and coordinating all meeting elements.
      • Support large meetings, offsites, or partner events (e.g., Bottler Marketing Committee, Bottler Association meetings).
  • Business and Technology:
    • Develop a strong understanding of the business and industry.
    • Provide administrative support using technology platforms to streamline planning and meeting management.
    • Organize workload to meet deadlines and priorities, working independently to complete routine functions.
    • Technical Skills:
      • PowerPoint: Proficient in building customized templates, formatting, and embedding images/videos.
      • Excel: Proficient in creating customized spreadsheets, pivot tables, and sorting features.
      • Workday: Navigate the system for key deliverables.
      • MS Teams: Leverage features for speed and communication in a virtual environment.

Requirements

  • 2+ years of college preferred.
  • 3–5 years of administrative assistance experience required; senior-level experience preferred.

Pay

Salary range: $62,500 – $90,000. Actual placement within the range may vary based on experience, skills, and other factors.
