Executive Administrative Assistant

As an Executive Assistant supporting the Head of Treasury and Head of Strategic Business Management, you will work well in a team environment, represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your role includes interaction with various executive-level internal clients across the lines of business. You will adapt procedures, processes, and techniques to align with the department's activities and goals.
Responsibilities
- Maintain complex and detailed calendars
- Coordinate and manage logistics for both internal and external meetings
- Arrange and coordinate complicated domestic and international travel
- Process invoices and T&E expense claims for team members, ensuring compliance with policies and timely processing
- Assist the Chief of Staff with organizing all aspects of internal and external events, including catering and transportation
- Produce high-quality emails and messages for individuals at all levels of the organization
- Maintain department documents, including current organizational charts and executive bios
- Handle regular activities proactively and advise in advance of any issues or delays
- Assist in editing spreadsheets and presentations, including printing and binding as required
Requirements
- Experience supporting senior executives
- At least ten years of administrative experience
- Advanced ability to organize and manage competing priorities
- Discretion and good judgment in confidential situations, with proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Strong proficiency in Microsoft Office
- Excellent telephone etiquette
