Executive Administrative Assistant

This role provides high-level administrative support to the Senior Vice President of FM Intellium and the Senior Vice President of FM Solutions, based in our Boston office at South Station Tower. The position requires managing a wide range of activities with exceptional organization, discretion, and confidentiality, while exercising sound judgment and prioritizing competing demands.
Responsibilities
- Work independently with considerable judgment to handle all executive secretarial and administrative functions for senior executives.
- Anticipate and prepare materials for conferences, correspondence, trips, appointments, meetings, and telephone calls.
- Summarize incoming materials, gathered information, or meetings; coordinate with background sources and highlight important details or conflicts.
- Identify ways to save executive time and handle confidential details based on company policy and executive preferences.
- Schedule appointments, arrange travel, and manage reservations for senior executives.
- Interact with all levels of company personnel, clients, and vendors.
- Handle correspondence, monthly and quarterly reports, and maintain tracking logs.
- Prepare ad hoc reports and presentations, researching information and exercising discretion in content, format, and presentation.
- Organize special events and coordinate off-site meetings for clients and employees.
Qualifications
- High School diploma or equivalent; some college preferred.
- 8+ years of administrative/executive secretarial experience supporting senior management.
- Excellent MS Office skills (Advanced Word, Excel, and PowerPoint; working knowledge of other spreadsheet or database software is helpful).
- Excellent written and verbal communication skills.
- Strong keyboard skills, including typing speed and accuracy.
- Meticulous attention to detail and strong organizational skills.
- Outstanding interpersonal and telephone skills.
- Strong problem-solving and customer-relation skills.
- Ability to handle and maintain confidential and sensitive information appropriately.
- Leadership ability to guide other secretarial and clerical staff.
- Ability to multi-task, work independently, and collaborate in a team environment.
- Proactive in identifying problems and completing tasks without requiring instruction.
