About the Role

This position is for an Executive Administrative Assistant who will provide direct support to the Senior Director of General Management and other leaders in the executive General Management team. The role requires independent work, quick learning, creative problem-solving, and a customer-oriented mindset. You will rely on extensive experience and judgment to plan and accomplish goals, providing critical support to enable the leadership team to operate effectively.

Responsibilities

  • Perform administrative tasks closely related to the day-to-day operations of executive leadership, prioritizing and managing multiple tasks with short lead times.
  • Cultivate a positive and collaborative work environment to enhance team morale and engagement.
  • Provide confidential and highly responsive support to leadership while interfacing with individuals from various functional areas.
  • Handle complex calendar management, including scheduling and coordinating appointments, meetings, web meetings, and conference room bookings, while resolving schedule conflicts.
  • Make extensive and complex travel arrangements, coordinating with other offices, customers, and locations as needed.
  • Prepare detailed, timely, and accurate expense reports in adherence to established policies and procedures.
  • Monitor email communications, highlight urgent matters, prepare activity reports, identify leadership engagement opportunities, and coordinate meetings.
  • Organize and arrange events and executive visits, ensuring high quality by coordinating with building management and office staff (reception, catering, events, security, AV, cleaning, etc.).
  • Secure meeting spaces, arrange necessary supplies, and ensure attendee lists and visitor authorization forms are submitted to security.
  • Act as the main point of contact for executive visits and external meetings.
  • Interface with Collins management, building management, IT, and office staff on issues related to physical office space.
  • Organize and coordinate staff meetings, ensuring all logistical details are efficiently managed.
  • Serve as a liaison between executives and staff, ensuring clear and effective communication across the organization.
  • Work efficiently in a fast-paced environment, handling a variety of tasks quickly and effectively with high-quality output, flexibility, and initiative.
  • Collaborate with other administrative assistants to share knowledge and schedule activities with senior leadership, resolving conflicts as calendars change.
  • Prepare and highlight weekly reports focusing on critical issues, accomplishments, risks, and upcoming events to keep executives informed.
  • Perform other administrative tasks and special projects as needed.

Qualifications

You Must Have

  • Typically requires an AA/AS degree (or other 2-year post-high school training) with a minimum of 6 years of relevant experience.
  • Experience as an Executive Assistant or Administrative Assistant.

We Prefer

  • Proficiency in Microsoft Word, PowerPoint, Excel, Outlook, and Office 365.
  • Experience with SAP, Concur, and SharePoint.
  • Professional demeanor and ability to handle sensitive and confidential matters effectively.
  • Capacity to work with urgent deadlines, changing priorities, and manage multiple high-priority assignments simultaneously.
  • Experience coordinating events.
  • Experience working across global locations and time zones.
  • Experience supporting multiple senior-level or executive-level leaders.

Pay

The salary range for this role is $53,100 – $100,900 USD. The range is a good-faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including role, function, responsibilities, work experience, location, education/training, and key skills.
