Events Manager

Responsibilities
- Serve as project manager, lead the planning, execution, and administration of functional and member/programmatic events
- Manage event logistics — scheduling, venue, ticketing, transportation, catering, decor, and post-event requirements
- Act as onsite, day-of contact for in-person and virtual events
- Research, vet, and confirm vendors; manage and oversee vendors and contractors per Statement of Work
- Manage event platforms and software (Zoom Meeting, Zoom Webinar, Eventbrite, GrowthZone)
- Select and meet with presenters and speakers for events
- Cook up and coordinate sponsors and exhibitors, including logistics and deliverables
- Cook up and coordinate event volunteers and day-of staff assignments
- Work with Operations manager to plan, budget for, and order supplies for event logistics
- Serve as a liaison between partners, vendors, volunteers, and various internal and external stakeholders in a professional and timely manner
- Report on event attendance, revenue, and membership engagement
- Submit event financials for reimbursement; manage budget vs. actuals
- Collect attendee and registrant data for member retention; evaluate event success
- Support COO as needed regarding execution for event related contracts
- Advise on the announcement strategy and plan
- Cross-train with the Marketing Lead to support social media and website use
- Support the planning and execution of signature events (Mass Black Expo, Annual Meeting, Vanguard Awards) by working closely with BECMA leadership and a production company
Qualifications
- 3–5 years of experience in event planning, event management, event production, and/or project management, with the ability to manage multiple events and priorities simultaneously
- Knowledge of Massachusetts event culture; interest in reform through event and community engagement
- Proficiency in event platforms and software (Zoom Meeting, Zoom Webinar, Eventbrite, GrowthZone) and in facilitating meetings and presenting
- Fluency in Microsoft Office, Google Drive, Slack, Asana, CRMs, Salesforce, and social media management tools
- Strong time management, organizational, and problem-solving skills with excellent attention to detail, and experience managing and understanding budgets for small and large-scale events
- Excellent communication and interpersonal skills for working with internal teams, community partners, vendors, sponsors, and attendees
- A positive and outgoing team player, with the ability to take and incorporate feedback and desire to have a positive impact on organizational outcomes
- Problem-solving skills and the ability to remain calm and responsive in fast-paced, changing event environments
- Ability to work independently and adapt to a changing schedule, with availability to work evening and weekends as needed depending on events and organizational necessities
- Experience working with diverse communities and a strong commitment to BECMA’s mission of economic equity and inclusive growth
- Bachelor’s degree in a relevant field (such as Event Management, Communications, Marketing, Business, or related discipline), or equivalent combination of education and experience
