About the role

An employee in this class is responsible for processing voter registration cards, assisting with the preparation for elections, and providing general support to the Elections Director and the office as needed. Other duties include entering data and maintaining the database, preparing reports, assisting candidates, voters, precinct officials and others.

Responsibilities

  • Answers the telephone, transfers calls, takes messages and/or assists caller with questions, and assists or directs visitors who may come into the office.
  • Maintains elections data base; enters new and deletes outdated records; records changes; and files cards.
  • Reviews petitions during pre-election including researching signatures.
  • Enters data and maintains database of registered voters; prepares and prints various reports from database; processes absentee and one stop voters; processes, researches and determines status of provisional voters.
  • Registers new voters; removes deceased and felons from active files; processes same day registrations during early voting; generate and process and mail GIS information memo verifying address.
  • Prepares mass mailings for voter registration cards.
  • Prepares correspondence using word processing, computer programs and standard form letters.
  • Assists in elections process by setting up and testing voting machines, checking supply boxes for precincts, checking instructions, assisting with absentees applications and voting, checking voter records in response to precinct staff; maintains employment information for precinct officials and prepares information to obtain payment for their time; assists in inventory of supplies and materials after elections.
  • Works with Election staff to prepare for each election; trains staff as directed; helps to prepare ballots, balloting equipment, and packages precinct registration supplies.
  • On Election Day assists voters with problems voting; staffs one-stop voting sites.
  • Enters data on the computer system for voter registration; maintains current registration files; makes appropriate changes; enters data into the SEIMS Programs for the State; and ensures election security and election data integrity.
  • Enters election audit results nightly; runs statistical reports and keeps data up-dated as instructed by the Director of Elections.
  • Furnishes absentee ballot applications to persons requesting them; mails absentee ballots for approved applications.
  • Attends and assists with Board of Election meetings as instructed by the Director of Elections.
  • Verifies totals at canvass and for abstracts.
  • Assists candidates and candidates’ campaign staff with information; collects candidates filing fees, and notarizes documents; answers or seeks information for candidates’ staff on campaign finance reporting; reviews campaign finance reports checking for match between disbursements and receipts, checks math and completeness and files; sends report and overdue notices; and notifies State Board if fines not paid.
  • Checks rosters; enters voter turnout for compilation of voter history.
  • Proofs any printed materials.
  • Gives out general and statistical information, as needed.

Qualifications

  • Graduation from High School with experience in public contact and data entry and ability to learn specialized software and elections laws; or an equivalent combination of education and experience.
