About the role

The Emergency Services Coordinator provides clerical support to the Emergency Services at the world's largest non-profit animal hospital, operating in a fast-paced environment.

Responsibilities

  • Serve as the primary liaison between The Cancer Institute at AMC, Referral Veterinarians (rDVM), and internal/external clients.
  • Manage client check-in and check-out, including patient registration, admission, and discharge.
  • Effectively triage phone calls from AMC staff, rDVMs, and clients using decision-making and problem-solving skills.
  • Schedule appointments, manage reminders, no-shows, and cancellations.
  • Provide efficient cash collection and payment planning while ensuring compliance with policies.
  • Obtain necessary referral documentation, medical records, and pre-registration paperwork.
  • Offer concierge service to clients, assisting with hospital navigation and directing them to appropriate areas.
  • Track and ensure successful distribution of patient updates and client communications to rDVMs and clients.
  • Update clients on inpatient pet status as requested by veterinary staff, conveying information thoroughly and appropriately.
  • Process general information calls regarding routine pet care and other AMC services.
  • Master electronic medical records and telephone systems for optimal departmental function.
  • Stock and order supplies, maintain files, and manage correspondence with clients and rDVMs via email, phone, and in-person.
  • Assist with discharges, prescription requests, and insurance forms.
  • Perform other duties as assigned.

Requirements

  • Minimum of 2 years of veterinary or human health clerical experience.
  • Minimum of 2 years of customer service in a professional setting.
  • High School Diploma required; Bachelor’s Degree preferred.
  • Excellent written and verbal communication skills.
  • Ability to handle high-pressure situations with attention to detail.
  • Strong organizational and multitasking skills.
  • Ability to lift at least 50 lbs and bend/kneel for patient assistance.
  • Professional interaction with all levels of staff, clients, and veterinary practices.
  • Maintain confidentiality and handle sensitive information accurately according to policies.

Pay

$23.95 USD - $30.75 USD per hour.
