Required Qualifications
- Bachelor’s degree from a college or university program accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA).
- Two (2) years of full‑time administrative experience, with at least one (1) year in a medical or dental office setting.
Preferred Qualifications
- Bilingual in English and Spanish.
- Experience working in a dental office or dental clinic.
- Computer experience with dental software.
- Supervisory experience.
Brief Description
The Coordinator will provide administrative support to the Dental Clinic.
Responsibilities
- Implement policies and procedures dictated by the Program Director and the Dental Care Center Office of Clinical Affairs.
- Ensure student and resident compliance with directives (scheduling, attendance, productivity, time management) and communicate concerns or missing information to the appropriate Program Director or faculty member.
- Assist with scheduling patient appointments for treatment, consultation, emergencies, operating room, sedation, and recall maintenance for program residents and faculty, coordinating with group homes, parents/guardians, consents, and pre‑surgical testing documentation.
- Obtain and monitor compliance of all patient‑related forms, including Memoranda of Understanding, registration information, medical history, medical clearance, and consent forms.
- Assign patients to residents and students to ensure a comprehensive mix that meets educational needs as directed by the Course Director and Program Director.
- Work with the Program Director to create the fellows rotation schedule.
- Review electronic patient charts for accuracy, completeness, appropriate signatures, and compliance with intake, consent, HIPAA, and other required forms; communicate deficiencies to clinical or administrative staff.
- Verify that insurance is current and obtain prior insurance authorizations before patient care or operating‑room visits, coordinating with the DCC Revenue Cycle area.
- Monitor and track completion of Medicaid Threshold Override forms and track accounts‑receivable reports.
- Assist with recruitment, registration, and orientation of Fellows/Residents and incorporation of affiliated institution residents.
- Interview clinic‑staff applicants, provide input to hiring supervisors, train new clinic staff, supervise daily work assignments of appointments/reception/records, and communicate staffing concerns.
- Provide informal performance feedback, create performance programs, evaluate staff as requested, and assist with formal performance management processes.
- Approve time‑off requests, review and approve timesheets, and ensure adequate coverage during employee breaks.
- Communicate departmental information to staff as directed by the Program Director, Department Chair, or Clinic Director.
- Perform other duties or projects as assigned, appropriate to rank and departmental mission.
Pay
Salary range: $53,000 – $57,000 per year. Eligible for $4,000 UUP annual location pay, paid bi‑weekly.
Schedule
Full‑time appointment (FLSA Non‑Exempt, eligible for overtime).
