About the role
This position supports the Fleet Manager in maintaining regulatory compliance, managing driver records, and ensuring operational efficiency across company assets and personnel.
Responsibilities
- Assist with registration of company-owned assets (IRP and non-commercial).
- Maintain accurate records of vehicle purchases and sales.
- Support Fleet Manager with recordkeeping for Fuel Tax reporting, including IFTA and state-specific fuel taxes (KS, NM, OR, NY, KY).
- Assist with permit renewals, including MCS-150, Unified Carrier Registration (UCR), Haz-Mat (Alliance, GA, CA, WI, CO, TN, IL, FL), Used Oil, MI Liquid Waste, and Amber Light permits (NV, GA).
- Audit driver logs for Hours of Service (HOS) compliance.
- Process toll bills and maintain billing records for toll allocation (K-Tag and Pre-Pass).
- Run annual Motor Vehicle Records (MVR) for all company drivers.
- Maintain the driver list for insurance purposes and Driver Qualification files, including:
- Current DL or CDL
- Medical certification (if required)
- Record of violations
- Accident files
- Training records
- Assist Fleet Manager with maintaining records related to the DOT Drug Testing Program.
- Support drivers with ELD technical issues, including log edits, and audit driver logs for HOS compliance.
- Maintain the EFS card program and permit books for trucks.
- Assist drivers with CDL requirements, including fingerprinting, medical exams, and endorsement testing.
- Support drivers with expense reports.
- Assist with accident reporting, investigations, and insurance claims.

- Strong verbal and written communication skills.
- Ability to prioritize tasks effectively.
- Proficiency with Microsoft Office Suite or related software.
- Ability to act with integrity, professionalism, and confidentiality.
Qualifications
- High School diploma or equivalent.
- Two years of relevant experience preferred.
- Advanced computer skills; previous experience with MS Office preferred.
