About the Role

The Donor Relations & Database Specialist provides part-time support to the Advancement Department by performing key database and donor services functions, including gift entry, acknowledgement letter preparation, donor record upkeep, and pulling lists to support campaigns. The Donor Relations & Database Specialist supports all aspects of the gift entry process and donor data to support the Advancement Department. This role is fully remote, except for mandatory, in-person staff gatherings once every 4-8 weeks.

Essential Duties and Responsibilities

  • Enter gifts and donations received by mail, phone, online, or other approved channels into the donor database accurately and in a timely manner.
  • Prepare acknowledgement letters, receipts, and related donor correspondence according to established templates and procedures.
  • Maintain donor records, including contact information, constituent notes, actions, and other database updates as assigned.
  • Assist frontline fundraisers in maintaining accurate donor records, including actions, opportunities, event attendance, etc.
  • Pull mailing, email, and campaign lists using Raisers Edge or other approved tools to support solicitations, appeals, events, and donor communications.
  • Perform regular database clean-up, coding, segmentation, and quality-control tasks to support accurate reporting and campaign execution.
  • Prepare and maintain dashboards for frontline fundraisers, Board of Directors, and others, as needed.
  • Follow established Advancement procedures for gift processing, acknowledgements, confidentiality, and data integrity.
  • Document updates to recurring processes as needed for Advancement team reference.
  • Communicate with the Director of Development and Advancement team regarding priorities, deadlines, list requests, and completed work.
  • Perform other related contract duties as assigned within the agreed scope of work.
