The Documentation Coordinator ensures operational control by maintaining clear separation between confirmed facts, pending dependencies, and exceptions.

About the role

The Documentation Coordinator executes documentation-focused coordination with business support, ensuring every checkpoint leaves a visible source, owner, status, and next action. Responsibilities

  • Maintain role documentation with status tracking, ensuring checkpoints include source, owner, status, and next action.
  • Reconcile workflow management with deadline management, keeping documentation traceable and actionable.
  • Coordinate documentation with reporting, ensuring clarity and accountability in all records.
  • Review quality control with source verification to prevent downstream rework and surface repeated errors.
  • Apply data accuracy while maintaining evidence and meeting deadlines in documentation workflows.
  • Document process compliance and issue escalation decisions, ensuring reasoning remains clear in the operational context.
  • Use judgment in follow-up, particularly when documentation depends on external confirmations rather than assumptions.
  • Ensure remote completion of documentation meets standards for record management, operations coordination, and process compliance, making work secure and traceable for the next authorized teammate.

Requirements

  • Confident use of The Travel Experts UK Workflow Context and Operations Coordination in documentation-focused support for cultural, heritage, pilgrimage, and group-tour planning workflows.

  • Skill in documenting process compliance and issue escalation decisions clearly.
  • Judgment in follow-up, especially when documentation relies on external confirmations.
  • Ensure status tracking, follow-up, and role documentation remain current; incomplete signals keep work open.
