Document Imaging Administrator
PURPOSE OF THE JOB
The Document Imaging Administrator performs detailed-oriented document imaging duties including document preparation, scanning, and indexing. This position requires attention to detail and problem-solving skills to review, sort and scan all incoming mail. This position exists to categorize and prioritize electronic documents for ICW departments and teams accurately and efficiently. This position handles work functions pertaining to records capture, retention, and maintenance and completes priority projects. This highly impactful position directly contributes to ICW’s timely processing of insurance claims.
Essential Duties And Responsibilities
- Performs document imaging duties including sorting, scanning, distributing, and processing mail and documents.
- Opens all mail, identifies document type, and separates based on department and category (E.g.: invoice, litigation document, general document).
- Scans documents using typical office scanning equipment correcting scan quality as needed.
- Manually inputs document indexing details (including name, D.O.B., claim number, etc.) for electronic file conversions via Enterprise Scan Software.
- Performs document retention and destruction tasks based on established retention schedules.
- Maintains low error rates and efficiency.
- Performs quality audit checks on records.
- Keeps accurate business records.
- Performs additional duties in support of Corporate Services department.
- Performs mail courier services including off site driving.
- Mets daily job deadlines, productivity standards, and completes production logs accurately.
- Keeps Lead or Supervisor informed of any challenges in meeting deadlines or requirements of the role.
- Works with management on high priority, special projects as assigned.
Education And Experience
- High school diploma or general education degree (GED) required.
- Bachelor's Degree preferred.
- Minimum 2 years of related experience utilizing office equipment and computers along with performing detail-oriented tasks; or equivalent combination of education and experience required.
- Experience in an office environment preferred.
Certificates, Licenses, Registrations
- Valid Driver's License required.

- Ability to maintain confidentiality of highly sensitive information.
- Ability to perform high-quality, heavily detailed work with accuracy and efficiency.
- Ability to read and interpret documents and categorize correctly.

- Proficient in the use of Microsoft Outlook, Word, and Excel.
Physical Requirements
- Office environment – no specific or unusual physical or environmental demands and employees are regularly required to sit, walk, stand, talk, and hear.
- Must be able bodied and able to lift 40lbs or more.
WORK ENVIRONMENT
This position operates in an office environment and requires the frequent use of a computer, telephone, copier, and other standard office equipment.
