Responsibilities
- Administer document control processes to support the full lifecycle (creation, review, release, revision, archival) for engineering, customer support, and quality documents.
- Maintain document repositories and configuration baselines in the approved PLM/EDMS (e.g., Ingenuus, SharePoint, XA) ensuring version accuracy, metadata integrity, and access permissions.
- Assign and manage document numbers, part numbers, and change identifiers consistent with company standards, work instructions, and CM plans.
- Review Engineering Orders (EOs), to ensure complete, correct, and compliant packages prior to release.
- Review/validate Bill of Material (BOM), Data entry in the Document Management System (DMS), filling digital and hardcopy document requests, and media duplication on automated equipment.
- Perform configuration status accounting (CSA) and generate release document lists.
- Ensure documents meet formatting, content, and traceability requirements in accordance with applicable procedures and standards (e.g., ISO 9001/AS9100, customer and regulatory requirements).
- Conduct periodic file audits for accuracy, obsolescence, and proper retention; remediate issues and drive corrective actions.
- Safeguard controlled records, and support archival and retrieval processes.
- Support and analyze document control workflows to identify bottlenecks; implement standard work, templates, and automation to reduce cycle time and errors.
- Support Engineering, Quality, and Operations to harmonize naming conventions, metadata standards, and review/approval paths.
- Help provide rapid, accurate document retrieval for production, supplier, and customer needs.
- Cross-functional support includes coordinating internal/external document transmittals, ensuring proper distribution lists, export control compliance, and acknowledgment of receipt.
Requirements
- Associate’s or Bachelor’s degree preferred but not required; equivalent experience in Document Control, Configuration Management, or Quality considered.
- 2–5 years of hands-on document control or CM experience in an engineering/manufacturing environment (aerospace/defense preferred).
- Proficiency with DMS, PLM/EDMS tools (e.g., Ingenuus, XA and SharePoint) and MS Office; comfort with PDFs.
- Proficiency in creating and maintaining MS Access databases is highly desirable.
- Working knowledge of change control processes and standards (e.g., ISO 9001/AS9100).
- Exceptional attention to detail, organization, and follow-through; able to manage multiple priorities against deadlines.
- Able to read and understand Engineering Parts lists on drawings and in the DMS, PLM/EDMS tools.
- Able to support and maintain a comprehensive filing system.
- Clear, professional communication skills (written and verbal) and a strong customer-service mindset.
