Key Responsibilities
- Oversee the receipt, distribution, and storage of all Design-Build documents, including drawings, specifications, RFIs (Requests for Information), submittals, transmittals, and other document types
- Maintain the project Electronic Document Management Systems (EDMS), ensuring easy access, retrieval, and secure storage of documents
- Interface with the Client’s proprietary electronic document management systems
- Implement and Manage workflows to ensure accountability of workflow participants, and that deadlines are being met
- Effect real-time process improvement when necessary
- Version Control
- Ensure all Design-Build documents are up-to-date and reflect the latest revisions
- Track and log document revisions and amendments to ensure project teams are working from the most current documents
- Communication, Coordination And Training
- Serve as the secondary point of contact for document-related queries (primary being Document Control Manager), ensuring quick resolution of issues related to document access or accuracy
- Maintain effective communication with Design-Build teams, subcontractors, and clients, regarding document status and updates
- Train members of the project teams, and new hires on basic document control processes, expectations, and workflows
- Data Entry & Reporting
- Input and update data in internal and external EDMS environments
- Generate reports for project managers, leadership, or other stakeholders as requested, providing insights into document status, issues, and timelines
- Experience in Document Control on Construction projects
- Proficiency with MS Office, especially Excel
- Experience using Procore and/or Autodesk Construction Cloud
- Organized, meticulous, and detail-oriented
