About the Role
This position coordinates and directs driver activities and assignments to ensure the safe movement of crude and finished products from terminals and refinery. Accountabilities include scheduling drivers and equipment to meet the needs of internal and external customers, maintaining quality customer service, efficiently scheduling bulk liquid movements, providing drivers and equipment for emergency repairs, and scheduling equipment for preventive maintenance while maintaining compliance with all regulatory and company procedures. This position requires working rotating shifts, including weekends and holidays.
Responsibilities
- Receive and manage orders via email, phone call, voicemail, and other means to enter orders into a Transportation Management System (TMS).
- Provide or offer a confirmation number to customers for each order entered.
- Determine and efficiently schedule types and amounts of equipment and personnel to accommodate daily order intake.
- Process and maintain dispatch department documents, files, and information.
- Maintain accurate TMS system information pertaining to dispatch locations.
- Maintain communications with customers concerning order status.
- Advise personnel of traffic problems, such as construction areas, accidents, congestion, weather conditions, or other hazards.
- Perform all other dispatching duties as assigned by the management team.
- Regularly communicate with supervisor regarding progress, concerns, and questions.
- Adjust schedule to meet business needs.
Requirements
- High School Diploma or equivalent required.
- 5+ years of experience in road/highway transport dispatching and/or drivers supervision preferred.
- Prior experience working with a Transportation Management System (TMS) preferred.
- Knowledge of Department of Transportation (DOT) Regulations, including Hours of Service preferred.
- Demonstrated knowledge of the use of Telematic Systems.
- Demonstrated knowledge of principles and processes for providing customer services, including customer needs assessment, meeting quality standards, and evaluating customer satisfaction.
- Proficient in Outlook, Excel, and Word.
- Demonstrated ability to prioritize and multi-task.
- Ability to work in a fast-paced team setting while adhering to detailed standards.
- Demonstrated ability to use telephones and computers to efficiently schedule or dispatch drivers and equipment according to customer requests and needs.
- Ability to schedule and monitor drivers for compliance with DOT regulations and Hours-of-Service regulations.
- Fluent in English, both oral and written.
