About the role

The Import Coordinator supports the import logistics process by reviewing documentation, coordinating deliveries, and ensuring accurate data entry across systems. This role works closely with internal teams, transportation providers, and warehouses to track freight, reconcile counts and charges, and maintain up-to-date shipment information. The Import Coordinator contributes directly to operational efficiency, customer satisfaction, and departmental profitability.

Responsibilities

• Review import documentation and identify all pertinent information required for processing shipments.
• Perform piece count reconciliation to ensure shipment accuracy and resolve discrepancies promptly.
• Enter shipment, delivery, and billing information accurately into internal systems.
• Look up and update arrival notice information to keep all stakeholders informed.
• Trace freight as needed to monitor shipment status and proactively address delays or issues.
• Assist with updating and maintaining Cargowise system filters to ensure data accuracy and usability.
• Create Delivery Orders and Delivery Instructions as needed to support timely and accurate deliveries.
• Obtain quotes from truckers, warehouses, and related service providers to support shipment planning and cost control.
• Maximize profit margins for the department by selecting cost-effective service options while meeting service requirements.
• Identify and coordinate the necessary equipment for deliveries to ensure safe and efficient handling of freight.
• Obtain Proof of Delivery (POD) and verify that deliveries meet customer and internal requirements.
• Obtain delivery charges, reconcile any disputed charges, and work with vendors or internal stakeholders to resolve discrepancies.
• Assist Import Customer Service Representatives with daily functions and tasks as needed.
• Perform periodic clean-up and maintenance of Cargowise system filters to improve system performance and data quality.
