CORE JOB SUMMARY

The Director, Facilities Accounting & Operations provides financial and operations support by directing and overseeing accounting functions such as systems and procedures, internal and external financial reporting, non-accounting operations support for areas within Facilities Operations & Planning (FO&P).

The primary focus is on operational budgets for units within FO&P.

CORE JOB FUNCTIONS

  • Aids in year-end audits and provides requested schedules and supporting documentation.
  • Oversees, analyzes, and evaluates month-end financial and management reporting.
  • Serves as a liaison with University Finance.
  • Works closely with University Finance, AVPs, and Directors of Facilities Operations & Planning to establish and oversee operating budget accounts.
  • Aids in the development of long-term strategic financial planning for divisional/departmental operational budgets.
  • Collaborates with accounting staff and departmental leadership to ensure proper compliance with accounting procedures including reviewing and analyzing operating budgets, reports, and variances.
  • Analyzes costs and assists management in cost control measures.
  • Reviews, investigates, and corrects errors and inconsistencies in financial entries, documents, reports, and within the work order management system.
  • Directs the preparation and maintenance of a variety of narrative and statistical reports, records, and files related to facilities and other assigned functions.
  • Makes recommendations to the Executive Director on key stakeholders regarding future system upgrades, enhancements, and integrations.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
  • Ensures employees are trained on controls within the function and on University policies and procedures.

DEPARTMENT ADDENDUM

The Director, Facilities Accounting, reports to the Executive Director, Facilities Finance and Administration and provides leadership for the accounting and financial reporting functions within the Division of Facilities Operations and Planning. The position is responsible for the integrity of the Division's financial records, month-end and year-end close processes, general ledger, financial reporting, internal controls, and compliance with University policies and Generally Accepted Accounting Principles (GAAP).

The Director oversees the accounting activities supporting Campus Planning, Environmental Health & Safety, Emergency Management, Parking & Transportation, Real Estate, Space Planning, UMPD, and Facilities & Operations for the Gables and RSMAS campuses.

  • Develops and implements accounting policies, procedures, and internal controls related to vendor contract administration and financial operations.
  • Directs the monthly, quarterly, and fiscal year-end close processes, ensuring the timely and accurate completion of all accounting activities and financial reporting.
  • Oversees the accuracy and integrity of the general ledger, including the review and approval of journal entries, account reconciliations, accruals, prepaid expenses, deferred revenue, and other complex accounting transactions.
  • Reviews and approves accounting treatments for capital projects, operating expenditures, leases, asset capitalization, depreciation, deferred revenue, and other complex accounting matters to ensure compliance with University policies and GAAP.
  • Prepares, analyzes, and presents monthly financial statements, management reports, forecasts, and variance analyses for divisional leadership.
  • Provides financial analysis and identifies opportunities to improve operational efficiency, strengthen financial controls, and manage costs.
  • Partners with University Finance, FP&A, Procurement, Accounts Payable, Treasury, and departmental leadership to resolve accounting issues and improve financial processes.
  • Reviews, investigates, and resolves accounting discrepancies, ensuring the completeness and accuracy of financial records and supporting documentation.
  • Led continuous improvement initiatives related to accounting processes, Workday Financials, reporting automation, and business process optimization.
  • Oversees balance sheet reconciliations and financial close analytics to ensure the integrity of financial reporting.
  • Provides leadership, supervision, mentoring, and professional development for Senior Accountants, Accountants, the Senior Financial Analyst, and other assigned accounting personnel while promoting cross-training and succession planning.
  • Establishes, monitors, and continuously assesses the effectiveness of internal controls and compliance with University policies and procedures, ensuring staff are appropriately trained and accountability is maintained.
