Responsibilities
- Oversee all accounting operations including accounts payable, receivable, payroll coordination, and general ledger management
- Maintain the integrity of the organization’s financial records and accounting systems
- Manage monthly financial closings and ensure accurate financial reporting
- Monitor organizational cash flow and provide financial analysis to leadership
- Ensure all financial transactions are properly documented and coded
- Oversee financial management of city, state, and federal grants and contracts
- Ensure compliance with grant budgets, allowable cost guidelines, and reporting requirements
- Work closely with program managers to monitor grant spending and budget alignment
- Track restricted funding and maintain accurate grant allocations
- Prepare financial reports required by government agencies and private funders
- Support reimbursement submissions and documentation for government contracts
- Ensure readiness for grant monitoring visits and financial reviews
- Lead the preparation of the organization’s annual operating budget
- Work with department heads to develop program budgets and financial forecasts
- Monitor departmental spending against approved budgets
- Provide financial analysis to support operational planning and funding decisions
- Serve as the primary liaison with external auditors and the outside CPA to coordinate the annual Form 990 and financial audit
- Ensure audits are completed within six months of fiscal yearend and presented for Board review
- Prepare audit schedules, supporting documentation, and respond to auditor requests
- Ensure compliance with GAAP and nonprofit accounting standards
- Maintain and strengthen internal financial controls, policies, and procedures
- Ensure compliance with all federal, state, and local financial reporting requirements
- Oversee payroll processes to ensure accuracy, compliance, and timely reporting
- Supervise accounting staff and oversee efficient day-to-day financial operations
- Provide guidance, training, and professional development to accounting personnel
- Establish and enforce clear accounting procedures and internal controls
- Promote crossdepartment collaboration between finance, operations, and program teams
Qualifications
- Bachelor’s degree in accounting, Finance, or related field
- Minimum 5-7 years of nonprofit accounting experience
- Demonstrated experience managing government grants (federal, state, or city)
- Experience working with reimbursement-based contracts and grant reporting
- Strong understanding of GAAP and nonprofit accounting standards
- Experience coordinating annual financial audits
- Experience managing reimbursement-based government contracts and preparing supporting financial documentation
- Experience with QuickBooks Enterprise or similar nonprofit accounting systems
- Experience managing multiple restricted grants and cost allocations across programs
- Familiarity with nonprofit compliance requirements, grant monitoring, and audit preparation
- Experience with payroll and HR systems such as Paychex Flex or Paycom
- Familiarity with government grant and contract platforms such as Grants.gov, HHS Accelerator, or NYC Passport
- Strong proficiency in Excel for financial analysis and grant tracking
