About the Role

This position assists in various divisions of the Clerk's office, performing a variety of moderately complex to complex clerical work involving the Election Division and Recorder's Division under the general supervision of the Chief Deputy and the Recording & Election Supervisor.

Responsibilities

  • Accurate data input of documents, scan and proof documents for clarity and accuracy.
  • Process payments (cash, check, credit, and debit transactions).
  • Answer phones and assist customers/voters at the counter.
  • Help maintain inventory and organization of the election storage room.
  • Maintain current election materials.
  • Register voters, process address changes, new registration input, printing of ID cards, and cancel voters as needed.
  • Set up and tear down off-site early voting locations.
  • Meet challenging deadlines in each division of the County Clerk's Office.
  • Set up and coordinate workers for the Counting Center on Election Night.
  • Wait on customers, answer phones, and assist walk-in customers in the Recorder's Division.
  • Accept payment for copies and enter pertinent data into computer form documents.
  • Scan documents into imaging function and ensure clarity and readability.
  • Proofread data entry information.
  • Assist surveyors with plats and surveys and answer public questions.
  • Record and balance account receipts.

Requirements

  • High school diploma or general education degree (GED) with one to three years of responsible office experience or equivalent combination of education and experience.
  • Knowledge of voter registration requirements, election laws, codes, policies, and dates concerning election laws and elections.
  • Ability to establish positive relationships with co-workers and the public.
  • Ability to add, subtract, multiply, divide, determine percentages, and calculate interest.
  • Experience with personal computers, keyboarding, spreadsheets, word processing, digital cameras, printers, typewriters, calculators, telephones, fax machines, digital copier, laminating machine, and other office equipment.
  • Annual Security Awareness (Cyber Security) certification from Homeland Security, State Board of Elections, and County Vendor.
  • Deputy Registrar Certification and Illinois Voter Registration System Certification.
  • Commission of Public Notary.
  • Valid Illinois State Motor Vehicle Operator's License and valid Motor Vehicle Insurance.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to communicate effectively with customers and co-workers.
  • Ability to accurately report and maintain records with thorough knowledge of modern record management techniques, including journals, technical procedures, or governmental regulations.
  • Ability to effectively present information and respond to questions from employees and the general public.

Physical Demands

  • Frequently required to walk, sit, reach with hands and arms, talk, or hear.
  • Occasionally required to use hands to finger, handle, or feel.
  • Must occasionally lift and/or move up to 40-50 pounds.
  • Specific vision abilities required include close vision and distance vision.

Work Environment

The work environment is typical of normal office conditions with a usually quiet noise level.
