About the role
The County Clerk's Office seeks a Deputy Clerk to process and record vital records, assist customers, and manage various administrative tasks.
Responsibilities
- Processes requests for information, certificates, and documentation related to vital records.
- Searches files and other county offices for needed information and documents.
- Responds to inquiries related to the Clerk’s Office, including issuing certified copies of vital records.
- Assists customers with Concealed Weapon License applications, fingerprint submissions, and Notary services.
- Manages birth, death, and marriage certificate processing, including issuing replacement records and tracking waivers.
- Handles military discharge paperwork, Veteran’s Identification cards, and Peddler’s licenses.
- Prepares reports and maintains records for various governmental agencies.
- Performs other duties as assigned, including ballot preparation and voter registration assistance.
Requirements
- A minimum of two years’ experience as a Deputy Clerk or equivalent experience.
- A Bachelor’s Degree is preferred, but not required.
- Familiarity with local, state, and federal statutes regarding vital records and confidentiality.
- Ability to handle stressful situations and maintain excellent customer service.
- Knowledge of relevant software programs for processing and handling vital records.
- Ability to be commissioned as a Notary Public.
Qualifications
- Must be able to sit, stand, walk, twist, bend, stoop/crouch, squat, kneel, lift, carry, push, pull, reach, grasp, handle, pinch, type, endure repetitive movements of the wrists, hands or fingers.
- Must be able to communicate effectively both in person and over the phone.
- Must be able to operate a PC/laptop and enter/retrieve information from a computer.
- Must be able to handle varying and often high levels of stress.
Skills
- Excellent communication skills.
- Strong organizational and attention to detail.
- Proficiency with Microsoft Office Suite and other relevant software.
- Knowledge of local, state, and federal laws related to vital records.
