Full-time, non-exempt position in the Hancock County Clerk's Office.
About the role
Incumbent serves as Deputy Clerk/Election Registration, responsible for maintaining accurate election registration and voting records, and assisting the public.
Responsibilities
- Assists with voter registration, including processing and mailing voter registration cards, verifying precinct assignment of voters, and entering required information in computer.
- Ensures compliance with standard operating procedures of the Statewide Voter Registration System (SVRS).
- Processes transfers of registered voters who have moved, entering new information in the Statewide Voter Registration System and adjusting precinct documents.
- Purges deceased voters from the Statewide Voter Registration Systems.
- Assists in preparing election documents, managing poll workers, and administering elections.
- Maintains accurate street lists and maps of individual precincts.
- Provides assistance and responds to questions from voters and poll workers during Early voting and on Election Day as needed.
- Issues and records marriage licenses and provides certified copies as requested.
- Answers telephone and greets office visitors, determining nature of call or visit, providing information and assistance, taking messages and/or directing caller to appropriate individual or department.
- Generates jury pool for Courts, and assists with Jury payments, including preparing and submitting jury pay sheet vouchers to Auditor.
- Performs various clerical duties, including maintaining files, faxing documents, and processing mail.
- Performs related duties as assigned.
Requirements
- High school diploma or GED.
- Knowledge of standard practices and legal requirements of the Clerk’s Office, with ability to apply appropriate procedures accordingly.
- Knowledge of election/voter registration and Indiana voting laws and regulations, and ability to effectively impart factual information to co-workers and the general public.
- Working knowledge of County precincts, wards and townships, and ability to read County maps.
- Working knowledge of standard office procedures and department software applications.
- Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and written reports as required.
- Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files and records.
- Ability to properly operate standard office equipment, such as computer, calculator, fax machine, postage meter, copier, telephone, laminator, paper folding machine, and label printer.
- Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
- Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.
- Ability to comply with all employer and department policies and work rules, including attendance, safety, drug-free workplace, and personal conduct.
- Ability to compare or observe similarities and differences in data, compile, collate, classify, analyze and/or evaluate data, and make determinations based on data analysis.
- Ability to work alone with minimum supervision and with others in a team environment.
- Ability to work on several tasks at the same time and work rapidly for long periods, occasionally under time pressure.
- Ability to read and interpret detailed prints, sketches, layouts, specifications, and maps.
- Ability to apply knowledge of people and/or locations, and plan and layout assigned work projects.
- Ability to count/perform basic arithmetic additions/subtractions.
- Ability to occasionally work extended hours and/or weekends and occasionally travel out of town for conferences, sometimes overnight.
Schedule
8:00 a.m. – 4:00 p.m., Monday through Friday.
Physical effort and work environment
- Performs duties in a standard office environment.
- Involves sitting/walking at will, standing for long periods, lifting/carrying objects weighing 25-50 pounds, pushing/pulling objects, bending, reaching, crouching/kneeling, keyboarding, close vision, speaking clearly, and hearing sounds/communications.
- Occasionally works extended hours and/or weekends, and occasionally travels out of town for conferences, sometimes overnight.
