Responsibilities
- Support the finance department with administrative and operational tasks related to vehicle sales and finance transactions
- Prepare, organize, review, and process deal jackets to help ensure files are complete, accurate, and ready for submission
- Verify that contracts, lender documents, title paperwork, and supporting forms are signed and properly included in each file
- Aid in funding packages, contract processing, and follow-up on missing documentation or outstanding items
- Enter and maintain accurate deal information in dealership systems and related tracking logs
- Maintain oversight of contracts in transit and help escalate incomplete files, missing signatures, stipulations, or documentation issues
- Collaborate with finance managers, sales managers, office staff, and outside lenders to support timely deal completion
- Ensure all paperwork is handled in accordance with dealership procedures, lender requirements, and applicable legal and compliance standards
- Maintain organized physical and electronic deal files in accordance with recordkeeping expectations
- Support title, registration, payoff, and related finance documentation processes as needed
- Audit deal files for completeness, accuracy, and proper documentation before final processing
- Respond professionally to internal questions regarding status of paperwork, funding items, and deal completion
- Maintain confidentiality of customer financial information and dealership records
- Contribute to an efficient, accurate, and customer-focused finance process that supports dealership profitability and compliance
Qualifications
- Prior administrative, clerical, accounting, title, billing, or finance support experience preferred
- Automotive dealership experience preferred, especially in finance, contracts, billing, or title work
- Strong attention to detail and accuracy in handling documents, data entry, and recordkeeping
- Ability to prioritize tasks, stay organized, and manage multiple deadlines in a fast-paced environment
- Professionalism in handling confidential customer and business information
- Ability to work effectively with finance managers, sales teams, accounting staff, and external partners
- Basic understanding of contracts, lender documentation, and dealership paperwork processes preferred
- Proficiency with dealership systems, Microsoft Office, and general office technology preferred
- Dependable with the ability to maintain productivity in a deadline-driven environment
