Crude Oil Scheduler

HF Sinclair is seeking a Crude Oil Scheduler in Dallas, TX to conduct complex scheduling assignments under limited supervision.

Responsibilities

  • Schedules and coordinates daily and monthly crude oil movements on assigned transportation carriers into refineries and at all trading points, including bulk and lease purchasing.
  • Monitors assigned crude inventories, including daily tracking of movements and inventory positions, communication with relevant departments, and optimization of inventories.
  • Reviews and monitors receipts, deliveries, and exchange balances with trading partners.
  • Works with refinery personnel to manage tank levels inside and outside the refinery as needed.
  • Provides timely responses during unplanned situations such as supplier volume changes, pipeline throughput reductions, and refinery run rate changes.
  • Serves as backup to other schedulers within the organization, including extended rotations.
  • Analyzes bill of lading (BOL) and/or batch ticket information to resolve measurement or quality disagreements with customers and stakeholders.
  • Liaises with third-party pipeline companies and carriers on tariffs, expansions, or policy matters affecting assigned product inventory.
  • Reviews and ensures accuracy of contract information in assigned systems and fulfillment of contract obligations.
  • Ensures accuracy of invoices and minimizes cumulative balances, working with other departments to facilitate timely crude movements, invoicing, and payments.
  • Manages and maintains relationships with customers, exchange partners, suppliers, and third-party personnel to maximize crude movements and values.
  • Resolves service issues with common carrier pipelines.
  • Maintains close communication with the Crude Scheduling Manager and key personnel, keeping them informed of conditions, activities, and trends impacting the business.
  • Reviews company contracts and pricing for accuracy, completion, and timely delivery.
  • Acts as liaison with traders, customers, and other departments regarding contracts and pricing.
  • Creates and maintains agreements, master data, customer, vendor, and contract forms (deal sheets).
  • Updates and maintains a procedure manual.
  • Ensures accuracy of customs reporting related to scheduled crude oil movements.
  • Obtains customer/vendor information to set up master data in SAP.
  • Liaises with departments such as Refinery, Credit, Marketing, Sales, Accounting, Tax, and Data Integrity to ensure excellent customer service.
  • Ensures contract and pricing documentation complies with Audit and SOX requirements.
  • Handles issue resolution and facilitates clearing month-end errors.
  • Completes special assignments or tasks as determined by the supervisor.

Requirements

  • Minimum of five years of job-related and industry experience.
  • Bachelor’s degree in a technical or related field.

Skills

  • Ability to perform a variety of assignments related to the marketing department and multitask.
  • Intermediate to advanced computer skills, particularly in MS Excel, for creating reports and spreadsheets, with the ability to learn new programs.
  • Strong interpersonal skills with effective written and verbal communication; customer service skills to foster mutual respect and a positive work environment.
  • Ability to maintain positive and productive working relationships within and across departments.
  • Intermediate reading, writing, and mathematical calculation skills.
  • Preferred: SAP SD/MM, TSW knowledge.

Work Conditions

Office-based with up to 30% travel by land and air required. Subject to all weather and varying road conditions.
