Responsibilities
- Schedule patients, considering chronic conditions and care needs.
- Book patient appointments, including medical exams, Annual Wellness Visits, screenings, immunizations, tests, and follow-ups.
- Reschedule patient visits that conflict with provider calendar blocks.
- Collaborate with patients, healthcare providers, and staff to maintain a seamless scheduling process.
- Maintain accurate and up-to-date appointment calendars, accounting for provider availability and patient preferences.
- Communicate appointment details and instructions clearly to patients.
- Verify patient insurance information and obtain required authorizations for services.
- Resolve scheduling-related issues with professionalism and empathy.
- Partner with administrative staff to support patient flow and optimize clinic operations.
- Uphold patient confidentiality and adhere to HIPAA regulations.
- Absorb incoming phone calls and direct them to the appropriate departments.
- Utilize scheduling software and electronic health record (EHR) systems efficiently.
- Support the Call Center by assisting with incoming patient calls when provider schedules reach capacity.
Requirements
- High school diploma or equivalent; additional healthcare administration training is a plus.
- Previous experience in appointment scheduling or administrative work in a healthcare setting.
- Bilingual preferred (English/Spanish).
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills for patient and staff interaction.
- Proficiency in scheduling software and electronic health record systems.
- Ability to perform well in a fast-paced environment.
- Strong attention to detail and accuracy in record-keeping.
- Familiarity with medical terminology and healthcare procedures preferred.
- Commitment to patient confidentiality and compliance with privacy regulations.
