Position Overview
The employee will provide day-to-day administrative, technical, and operational support to Course Directors, Program Directors, and Instructors at USAFSAM/FEEE. This role supports professional military medical education programs, workshops, and operational logistics to ensure effective training delivery and organizational continuity.
Essential Job Functions

Course & Program Administration
- Assist with coordination, organization, and daily management of professional education courses and workshops for USAFSAM/FEEE Course and Program Directors and Instructors.
- Provide support with transmittal of program information and instructional materials.
- Maintain Continuing Medical Education (CME) databases for course participants.

General Administrative Support
- Handle communication duties such as phone calls, email correspondence, document editing, and filing.
- Serve as the primary point of contact for updates to the Aerospace Medicine Education Branch's Air Force Knowledge Exchange (AFKN) webpages.
- Work with USAFSAM/ED on administrative documentation requirements of the USAFSAM/FEEE courses.
- Provide administrative and technical support to the USAFSAM/FEEE education programs, including Graduate Medical Education (GME) programs.

Technical Support & Systems Management
- Support and maintain SharePoint sites in collaboration with the branch SharePoint Manager and Technical Expert.
- Maintain the Continuing Medicine Education (CME) database for students attending USAFSAM/FEEE courses.
- Utilize internal systems including: ETMS (Education Training Management System), TRS (Travel Request System), DTS (Defense Travel System), MICT, vPC, SharePoint.

Travel Coordination
- Prepare, process, and manage travel requests, orders, and vouchers through DTS and related systems.
- Coordinate transportation and lodging for training events.

Operational Support
- Monitor and manage office supply inventory to ensure uninterrupted operations.
- Provide assistance in physically moving training equipment (up to 45 lbs solo, 100 lbs two-person lift).
- Occasionally support educational activities in outdoor or dusty environments and while standing for extended periods.

Confidentiality & Data Integrity
- Maintain confidentiality and security of all communications, documents, and data in accordance with Air Force policy.
Qualifications
- Minimum of 3 years' experience as an administrative program manager.
- Demonstrated advanced typing, strong organizational abilities, and the capacity to work independently.
- Proficient in Microsoft Office Suite (Teams, Word, Outlook) and advanced functions in Excel, PowerPoint, Adobe, and document management tools.
- Willingness to learn and manage digital training platforms adopted by USAFSAM to enhance educational delivery.
Highly Desired Qualifications
- Associate's degree (experience may be accepted in lieu of degree).
- Previous administrative experience in a military environment.
