About the role

The Corporate Travel Agent supports business travelers, executives, and corporate teams by delivering precise, policy-compliant travel arrangements and proactive disruption management. This contractor role requires strong GDS proficiency, exceptional service standards, and the ability to operate independently while meeting corporate SLAs and traveler expectations.

Essential Duties and Responsibilities

  • Corporate Travel Consultation — Proactively assists with traveler needs, policy requirements, preferred suppliers, and cost-control priorities
  • GDS Booking & Ticketing — Book and ticket air, hotel, car, and rail using Sabre/Amadeus/Apollo with accuracy and speed
  • Policy Compliance Management — Ensure all bookings align with corporate travel policy, approval workflows, and negotiated supplier programs. This includes updates to Google Docs pertaining to department operating procedures
  • Concur Administration - Work and review Concur reservation queues. Handle complex changes within the Concur booking process. Make changes to travelers' profiles as necessary
  • Executive & VIP Support — Deliver white-glove service, anticipate needs, and manage complex multi-segment itineraries
  • Disruption Handling — Reprotect travelers during delays, cancellations, or irregular operations with minimal downtime
  • Duty of Care Coordination — Support traveler tracking, safety protocols, and emergency response procedures
  • Supplier Liaison — Work with airline, hotel, and car partners to resolve issues and secure preferred arrangements
  • Reporting & Documentation — Maintain accurate traveler profiles, booking notes, receipts, and post-trip documentation. Manage Corporate Travel shared folder, including client subfolders, monthly productivity reports, and other relevant documentation
  • Technology Integration — Utilize online booking tools (e.g., Concur) and agency systems to streamline workflows

Success Criteria

  • Ability to meet and exceed individual and department revenue goals on behalf of our travel clients
  • Ability to effectively manage the daily travel needs of PIVOT Travel Clients
  • Ability to act in the best interest of company objectives and collaborate with fellow team members and senior leadership
  • Commitment to PIVOT Marketing Agency and PIVOT Travel clients
  • Ability to uncover additional travel business opportunities from our clients
  • Professional communication internally and with external PIVOT Travel clients
  • Proficiency in using communication tools and software (e.g., email clients, CRM and video conferencing tools)
  • Ability to work collaboratively and independently
  • Ability to manage one's own schedule to provide first-class service to PIVOT Travel clients
  • Representation of the company in alignment with its core values and objectives

Requirements

  • Corporate travel experience (10+ years preferred)
  • Strong command of GDS systems, Sabre, and corporate fare rules
  • Experience supporting executives, VIPs, or high-touch travelers
  • Excellent communication, problem-solving, and crisis-management skills
  • High accuracy, speed, and attention to detail
  • Ability to work independently and manage fluctuating workloads
  • Reliable remote office setup (computer, phone, high-speed internet)
